Job Description - Document Controller (Mining) - Work from home | Nightshift | Tues to Sat
We are seeking a Document Controller to support operational excellence by ensuring accuracy, compliance, and consistency of site documentation. You’ll work closely with functional leaders to manage document processes, permissions, and records using SharePoint. This role is ideal for someone with strong organizational skills, attention to detail, and a background in document control within complex industries.
Map stakeholder roles and responsibilities at each site and establish strong relationships with onsite functional leaders.
Establish, implement, and maintain document control procedures, including permissions, metadata management, and version/revision control to ensure accuracy and consistency.
Assist document owners with the creation of new documentation (templates, numbering, revisions, co-authoring, review/approval processes, publication, and distribution).
Create, review, distribute, and revise quality management system documentation, ensuring proper identification, storage, protection, retrieval, retention, and disposition of controlled information.
Conduct transmittal processes for external stakeholders, and maintain transmittal records where required.
Receive, track, monitor, and archive documentation through a centralized system, ensuring proper handling of critical records such as training materials, audit reports, and compliance certificates.
Perform regular audits of company storage and records to maintain compliance and data integrity.
Provide training and guidance on document control processes, templates, metadata standards, and retirement of information.
Track, expedite, and follow up on documents requiring review or approval, and remind functional leads of overdue actions to maintain compliance.
Provide regular and ad-hoc reporting for management meetings.
Liaise with the SharePoint service team to align improvements, reporting, and best practices across sites.
Bachelor’s degree in a related field.
Minimum of 3 years of experience as a Document Controller, preferably in the Mining industry.
Proficient in the use of SharePoint.
Proficient in the use of Microsoft Office suite (Excel, Word, PowerPoint, OneDrive, etc.).
Strong communication skills.
Ability to work under pressure.
