Job Description - Executive Assistant (008-00367)

Looking for Philippines-based candidates

Job Role: Executive Assistant

Compensation range: $1,500 AUD - $2,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: This Australia-based company has been at the forefront of vehicle hazard detection and risk management for over two decades. It partners with insurance providers, repairers, and fleet operators to ensure that recovered or damaged vehicles are thoroughly assessed for safety risks from chemical exposure to structural contamination.

Role Overview: We are seeking a detail-oriented and proactive Executive Assistant to provide high-level administrative and operational support. The ideal candidate has exceptional organizational skills, keen attention to detail, and the ability to handle multiple priorities in a fast-paced, dynamic environment.

Key Responsibilities: 

  • Manage and process client invoices accurately and in a timely manner.
  • Handle calendar and email management for both internal and client-facing meetings.
  • Oversee and maintain CRM automations, ensuring workflows run smoothly and are optimized for efficiency.
  • Maintain organized records and documentation for projects, billing, and client communications.
  • Coordinate with internal teams to ensure deliverables and schedules are met.
  • Perform accurate data entry and maintain up-to-date records across platforms.
  • Prepare, issue, and track invoices to ensure timely payments and accurate reporting.
  • Assist with internal processes and support efforts to streamline daily operations.
  • Manage emails, phone calls, and correspondence, ensuring timely responses and follow-ups.
  • Schedule and coordinate meetings, appointments, and travel arrangements as needed.
  • Maintain and organize files, records, and office supplies.
  • Ensure confidentiality and accuracy when handling sensitive company and client information.

Required Skills and Qualifications:

  • Proven experience in operations coordination, administration, or a similar support role.
  • Strong organizational and time management skills with attention to detail.
  • Proficiency in CRM systems and basic accounting or invoicing tools.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
  • High level of professionalism and discretion when managing sensitive information.

Work Arrangement & Expectations:

This is a remote role that will be set up as an independent contractor engagement.
