Role Description
The Executive Assistant will serve as the CEO’s trusted right hand—coordinating schedules, handling communications, and managing daily operations with precision and foresight. This position requires exceptional organizational ability, strong interpersonal skills, and the confidence to interact directly with CEOs, partners, and clients.
The role is primarily remote but requires in-person work when the CEO is in Manila (hybrid setup). The successful candidate will be someone who demonstrates professionalism, discretion, and the ability to make informed business decisions independently while maintaining seamless coordination with internal and external stakeholders.
Key Responsibilities
Manage the CEO’s calendar, schedule meetings, and coordinate both local and international travel arrangements.
Prepare reports, presentations, and correspondence on behalf of the CEO with accuracy and professionalism.
Serve as the main liaison between the CEO and business partners, clients, and internal teams.
Support the CEO during meetings, ensuring clear documentation of key takeaways and follow-up actions.
Handle confidential and sensitive information with the highest level of integrity.
Anticipate the CEO’s needs and proactively resolve administrative and operational issues.
Participate in strategic discussions, providing research and insights when needed.
Coordinate office logistics, events, and meetings when the CEO is in Manila.
Identify and implement process improvements that streamline communication and workflow.
Foster collaboration within the organization by maintaining a positive and professional working relationship with team members.
Required Qualifications
Bachelor’s degree in Business Administration, Management, or a related field or experience.
Minimum of 3–5 years of experience as an Executive Assistant supporting C-level executives.
Exceptional communication and interpersonal skills; able to confidently engage with executives and clients in person.
Strong business acumen with the ability to make sound, independent decisions.
Excellent organization, time management, and multitasking skills.
Presentable, confident, articulate, and professional in appearance and demeanor.
Very proficient in Microsoft Office, Google Workspace, Zoom, and related tools.
Highly adaptable, proactive, and dependable with a strong sense of initiative.
Required to be living near business centers in Metro Manila and willing to work on-site when the CEO is in the Philippines. Candidates outside Metro Manila, Philippines need not apply.
Work Setup & Schedule
Work Setup: Mostly remote work but required in-person presence only when the CEO is in the Philippines.
Schedule: Full-time, Monday to Friday, 9AM to 5PM following either EST or PHT depending on the CEO’s location.
