Job Brief
We are seeking a highly organised and detail-oriented Legal Admin Assistant to assist a legal team specialising in Total and Permanent Disability (TPD) claims. This role requires experience in legal administration, ideally with prior exposure to the personal injury or insurance claims sector. You’ll work closely with lawyers and insurers, supporting the case management process by ensuring documentation is properly prepared, client communication is handled professionally, and compliance requirements are met.
Responsibilities
Document Management: Organise, file, and maintain client records and legal documentation to ensure efficient access and compliance.
Document Preparation: Transcribe dictation, draft correspondence, proofread documents, and prepare legal pleadings and submissions.
Billing and Invoicing: Create and send invoices, monitor accounts receivable, and manage billing-related queries.
Evidence Gathering: Request, track, and manage incoming medical reports and supporting documents needed for disability claims.
Insurer Interaction: Assist legal staff in communicating with insurers regarding claim statuses, requests for information, and follow-ups.
Database Management: Update and maintain claim tracking systems, case progress logs, and compliance registers.
Deadline Monitoring: Track time-sensitive actions to ensure claims are processed efficiently and meet all procedural deadlines.
Requirements
Experience:
Minimum 2 years administrative experience in an Australian law firm
Prior experience supporting personal injury or TPD lawyers is highly regarded
Communication: Excellent written and verbal communication skills, with a client-focused approach.
Organisation: Ability to manage multiple cases and prioritise tasks in a fast-paced environment.
Attention to Detail: Strong proofreading and document formatting skills.
Ethical Standards: Must handle confidential case materials with discretion and comply with all relevant privacy and ethical standards.
Desirable
Prior experience supporting lawyers handling superannuation or insurance-based disability claims
Familiarity with Australian superannuation and insurance providers
Understanding of the TPD claims process or the role of insurance law in Australia
Software Proficiency
Smokeball (Legal Practice Management Software)
XERO (Accounting & Invoicing)
Microsoft Office Suite (Word, Excel, Outlook)
DocuSign or similar e-signature tools
Education
Certificate III or IV in Business Administration (Legal), Legal Services, or equivalent experience
Additional qualifications in legal studies or a paralegal diploma are advantageous but not essential
