Compensation range: $8-9 AUD / Hourly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: They are a specialist healthcare provider focused on delivering high-quality ear, nose, and throat services to communities with limited access to specialist care. Their approach emphasises outreach, close collaboration with local providers, and patient-centred treatment. By combining clinical expertise with flexible service delivery, they work to reduce barriers to care and improve health outcomes across regional and rural areas.

Role Overview: We are a busy specialist surgical practice based in Australia seeking a reliable and empathetic Medical Admin VA to support our day-to-day operations. This role involves managing patient communications, referrals, and appointments while working closely with Australian-based administrative staff and doctors. You will be the first point of contact for patients, so excellent communication skills, strong emotional intelligence, and a customer-service mindset are essential.

Key Responsibilities: 

• Answer and manage inbound phone calls and emails from patients with professionalism and empathy
• Manage new patient referrals and ensure information is accurately recorded
• Book, confirm, and manage appointments for new and existing patients
• Perform medical administration and virtual receptionist duties using Clinic to Cloud software
• Communicate clearly and effectively with Australian administrative staff and doctors
• Maintain accurate and up-to-date patient records
• Follow established processes and adapt to new workflows as required
• Support additional administrative tasks as the practice grows, including potential exposure to audiology and Medicare-related administrative work

• At least 3 years of experience in Medical Administration or Healthcare administrative environment
• Exposure to Medicare-related or clinical administrative processes
• Proficient with Google Workspace, Microsoft Office, and Medical Practice software
• Excellent spoken and written English 
• Strong emotional intelligence and customer service background
• Confident and professional phone communication skills
• Reliable work-from-home setup with stable internet and a quiet environment (no background noise)
• Coachable, receptive to feedback, and willing to learn
