Work Days: Monday–Friday
Salary: $5 – $6 per hour (depending on experience)
Position Overview
We’re hiring a Medical Billing Virtual Assistant who’s experienced, reliable, and super detail-oriented to manage full-cycle billing operations. You’ll handle everything from claims submission and follow-ups to prior authorizations, referrals, and collaborating closely with the internal team. You should be confident with medical terminology and comfortable supporting both mental health/psychiatry and primary care services.
Scope of Work / Key Responsibilities
Manage full-cycle claims billing: prepare, submit, and track insurance claims
Perform claims follow-ups to ensure timely processing and reimbursement
Handle referrals and obtain prior authorizations efficiently
Interpret patient documentation and assign accurate billing codes
Ensure compliance with insurance timelines and requirements
Collaborate with internal staff for documentation and billing clarification
Provide added support with nursing document preparation, record-keeping, and other admin tasks as needed
Use the clinic’s EHR system Aleva (built for behavioral health group therapy)
Performance Expectations / KPIs
Meet strict timeliness standards set by insurance companies
Maintain accurate documentation and coding for claims
Ensure efficient claims follow-up and issue resolution
Proper handling of referrals, prior authorizations, and policy documentation
Clear, professional communication and teamwork with internal staff
Experience Requirements
Medical billing and coding experience required
Familiarity with mental health, psychiatry, or primary care is a plus (not required)
Experience with referrals, prior authorizations, and claims follow-ups
Prior experience with EHR systems (Aleva preferred) or similar tools
Nursing background or clinical experience strongly preferred
Basic Requirements
Must be proficient in speaking and writing English very clearly
Must have relevant work experience
Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding (mandatory)
Must be available for video meetings with camera on when needed
Technical Requirements
Device: Reliable laptop or desktop computer
Internet: High-speed connection (minimum 10 Mbps)
Audio: Noise-canceling headset
Video: Webcam for virtual meetings
Workspace: Quiet, professional environment
