Our client is a U.S.-based behavioral health practice focused on delivering community-based mental health services. The clinic works closely with Medicaid programs, ensuring patients receive structured therapeutic support through compliant documentation, coordinated care, and efficient administrative systems. The practice emphasizes accuracy, compliance, and continuity of care, making strong documentation and billing processes essential to patient outcomes and operational success.
Our client is seeking a Mental Health Medical Virtual Assistant with strong Medicaid experience, specifically in Therapeutic Rehabilitation Program (TRP) documentation and compliance.
You will play a critical role in ensuring:
Accurate and compliant TRP documentation
Timely claims resolution and billing support
Organized and up-to-date patient records within the EHR system
Key Responsibilities
Manage and review Medicaid mental health documentation, specifically TRP (Therapeutic Rehabilitation Program) requirements
Ensure documentation completeness and compliance, identifying missing or incorrect information
Handle denied claims follow-up and resolution
Perform insurance verification and eligibility checks (Medicaid-focused)
Support medical billing and revenue cycle management, with potential to take on full billing responsibilities
Process prior authorization requests as needed
Maintain and update patient records in EHR (Tebra), including keeping treatment plans updated every 3 months.
Provide general administrative support to the practice
Coordinate with providers to ensure documentation aligns with Medicaid standards
Proven experience with Medicaid mental health documentation (non-negotiable)
Strong understanding of TRP (Therapeutic Rehabilitation Program) documentation and compliance
Experience handling denied claims and follow-up processes
Background in healthcare administration, medical billing, or behavioral health support
Strong attention to detail and ability to identify documentation gaps
Highly reliable, self-motivated, and able to work independently
Excellent English communication skills (written and verbal)
Preferred Experience
Experience working with U.S.-based behavioral or mental health practices
Familiarity with state-specific Medicaid requirements (e.g., Kentucky Medicaid is a strong plus)
Experience using Tebra EHR
Experience with RingCentral, Google Voice, or similar VoIP systems
Key Performance Indicators (KPIs)
Accuracy and completeness of TRP documentation
Reduction in denied claims and faster resolution times
Timely updates of treatment plans and patient records
Accuracy in insurance verification and billing processes
Overall compliance with Medicaid documentation standards
Basic requirements
Must be proficient in speaking and writing English very clearly
Must have relevant work experience
Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
Must be available for video meetings with your camera on (when needed)
