About the Client:
We are a U.S.-based mental health practice committed to delivering compassionate, patient-centered care. The practice is seeking a highly organized and clinically skilled Nurse/Clinical Support VA to function as a clinical liaison between patients and providers, ensuring timely medication management, accurate documentation, and effective coordination of care.
Scope of Work / Responsibilities:
This role is clinical in nature and requires sound nursing judgment, excellent communication, and the ability to triage patient concerns appropriately.
Top 3 Priorities:
Completing prior authorizations for medications and managing all related paperwork
Managing patient communication regarding medications, refills, and side effects
Coordinating closely with providers for clinical follow-ups, lab results, and referrals
Core Responsibilities:
Complete prior authorizations for medications using CoverMyMeds and related systems
Manage and track all prior-authorization documentation and follow-ups
Handle patient inquiries related to medications, refills, side effects, or prescription issues via calls or messages
Communicate patient-reported symptoms or side effects to providers and assist in determining next steps
Call patients back with updates or instructions after consulting with the provider
Screen, prioritize, and triage incoming patient concerns, identifying when escalation is required (e.g., emergency room referral)
Follow up on lab orders and referrals to ensure results and external communications are completed
Manage medical records requests and update patient documentation as needed
Review and complete required clinical forms and documentation for the care
Systems and Tools Used:
Tebra / Kareo EMR
CoverMyMeds
Microsoft 365 Suite (Outlook, Teams)
RingCentral (VOIP)
Experience & Clinical Requirements:
Registered Nurse (RN) or nursing background required
Proven experience with prior authorizations and familiarity with CoverMyMeds
Strong clinical knowledge of medications and authorization workflows
Experience triaging patient concerns and knowing when to escalate to a provider or emergency care
Previous virtual assistant or remote healthcare experience is preferred but not required
Skills & Competencies:
Excellent verbal and written English communication skills with both patients and providers
Strong critical thinking and clinical judgment
Empathetic, calm, and clear communicator—especially under pressure
Highly organized with strong multitasking and follow-up skills
Comfortable working as a liaison between patients and healthcare providers
Strong understanding of HIPAA and patient confidentiality
Basic Requirements:
Must speak and write English very clearly
Must have relevant healthcare or clinical support experience
Must be able to submit an NBI clearance and/or Local Police Clearance prior to onboarding (mandatory)
Must be available for video meetings with camera on when required
Technical Requirements:
Reliable laptop or desktop computer
High-speed internet connection (minimum 10 Mbps)
Noise-canceling headset
Webcam for virtual meetings
Quiet, professional home workspace
