About The Company
A brand platform (AI forward thinking) on a mission to acquire, scale, and revitalize exceptional consumer brands in the U.S.
Role Summary
Hiring an Ops & Marketing Project Manager to serve as the organizational backbone of a small, fast-moving team. Plans get made in Slack, work gets briefed in Notion, and the gap between those two is where things quietly die. You are the person who closes that gap.
This role sits primarily on the operations side of the home fragrance brand. You will own wholesale operations end-to-end and keep product development, inventory, and production moving by managing suppliers, holding timelines, building project boards, and ensuring nothing sits waiting on an unasked question.
Simultaneously, you will own the cross-channel marketing calendar and the project flow behind it (website, paid creative, email/SMS, creator work, promotions, and launches), ensuring every decision has an owner, a date, a dependency map, and proactive follow-through.
Tools like Claude are integrated into daily workflows, not used as side experiments. You will be expected to build systems, SOPs, trackers, and reporting with AI in the loop to eliminate busywork and drive startup-speed execution.
Key responsibilities
Operations & Wholesale:
- Own end-to-end daily wholesale operations: process orders, charge payments, create inbound/outbound shipments, and manage B2B customer service.
- Generate 3PL orders for suppliers, samples, and operational inventory.
- Document processes and write SOPs as you go to enable future team delegation and scalability.
Product Development, Inventory & Production:
- Coordinate supplier follow-ups, cost comparisons, production timelines, and project boards for new products and packaging.
- Track production milestones closely and flag potential slippage early with actionable solutions.
- Support inventory operations and learn production fundamentals to take on expanded operational scope over time.
Marketing Calendar & Project Flow:
- Own and maintain a single cross-channel calendar spanning website, paid creative, email/SMS, UGC/creator work, promotions, and product launches.
- Hold dates by working backwards from launch milestones to sequence creative, approvals, and builds in the correct order.
- Translate high-level strategy into concrete, briefed tasks with assigned owners and realistic dates.
- Prevent project collisions (e.g., duplicate briefs, unrequested approvals, resource conflicts).
- Publish a weekly operational cadence update (what shipped, what slipped, and upcoming risk areas) without waiting to be asked.
Systems, Notion & AI Infrastructure:
- Serve as the owner of Notion as the system of record: design structure, maintain templates, enforce status hygiene, and drive team adoption.
- Build structured, reliable systems where only informal habits exist today.
- Utilize AI tools (Claude, ChatGPT, etc.) to build and manage systems, draft SOPs and briefs, track outstanding deliverables, and automate routine reporting.
- Maintain partnership records, creator contracts, and payment tracking in coordination with finance and team leads.
Requirements
Nice to have:
- Direct wholesale or B2B operations and customer service experience.
- Familiarity with platforms such as Shopify, Cin7, Klaviyo, or Figma.
- Experience with physical product development or packaging production timelines.
- Experience building reusable AI workflows or automations used by team members.
