Patient Intake & Scheduling Coordinator

VirtueStaff is seeking a patient-focused and organized Patient Intake & Scheduling Coordinator to manage the front-end patient journey for our client. In this role, you will be responsible for converting leads and referrals into scheduled appointments by providing exceptional phone-based support. You will serve as the primary point of contact for new patients, guiding them through the intake process and ensuring all follow-up communication is handled with professionalism and care.

Responsibilities

• Actively monitor the CRM (GoHighLevel) to identify and process new patient leads and medical referrals
• Conduct outbound calls to prospective and existing patients to facilitate scheduling and answer inquiries
• New Patient Onboarding: Manage the full scheduling lifecycle for new patients, including the distribution and collection of required intake forms.
• Navigate medical referral workflows to ensure timely patient care and documentation.
• Execute consistent follow-up protocols after appointments to ensure patient satisfaction and continuity of care.

• Previous experience working in a medical clinic is required, with a strong preference for candidates who have worked in a pain clinic setting
• Experience using eClinicalWorks for patient records and scheduling is highly preferred
• Proficiency in GoHighLevel (GHL) is highly preferred
• Exceptional Customer Service background with the ability to handle sensitive patient communications over the phone
• Proven experience in new patient scheduling and managing complex medical referral workflows
• Direct experience using a CRM to manage a sales or patient pipeline
