Job Role: Sales Administrator (004 - 0521)

Compensation range: $1500 - $2000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a capable, highly organised Sales Administrator professional to work closely with our Heads of Customer Growth. This role exists to remove administrative and coordination load from senior sales leaders so they can focus on customer relationships, growth opportunities, and strategic selling. This is a hands-on support role requiring strong autonomy, excellent written and spoken English, and confidence working with senior stakeholders. It supports a professional services and technology consulting environment and suits someone who values structure, follow-through, and ensuring complex sales activity progresses smoothly. The role works across sales operations, pipeline hygiene, campaign follow-up, documentation, coordination, and internal handover—acting as the connective tissue between sales, marketing, delivery, and operations.

Key Responsibilities: 

Sales Administration, Pipeline, and Campaign Support

  • Provide dedicated sales administration support to Heads of Customer Growth
  • Maintain accurate CRM records for leads, opportunities, contacts, and activity
  • Track opportunity stages, next steps, follow-ups, and owner accountability
  • Actively monitor and follow up on campaign-generated leads (email, events, webinars, partner campaigns)
  • Perform timely follow-up on behalf of sales reps to qualify interest and intent
  • Proactively chase responses and stalled leads without waiting for instruction
  • Ensure no campaign-generated lead remains uncontacted beyond agreed SLAs (typically 24–48 hours)
  • Flag risks, delays, or stalled opportunities early
  • Prepare and maintain sales trackers and basic pipeline reports

Meeting Booking and Follow-through

  • Schedule meetings and manage calendars on behalf of sales leaders where required
  • Book meetings directly into sales reps’ calendars, including agenda, context, and supporting materials
  • Track actions and ensure follow-ups are completed and recorded
  • Act as the operational bridge between marketing activity and sales conversations

Proposal and Documentation Support

  • Prepare and maintain proposals, statements of work, and pricing documents
  • Coordinate internal reviews, approvals, and revisions
  • Manage contract and document execution processes, including e-signatures
  • Maintain customer documentation and sales artefacts in Confluence
  • Ensure version control and accuracy across all sales documents

Coordination and Handover

  • Coordinate handover from sales to delivery teams to ensure clarity and readiness
  • Liaise with delivery, finance, and operations to support smooth deal progression
  • Support customer onboarding activities from a sales administration perspective

Systems and Tools

  • Work within Atlassian tools including Jira, Jira Service Management, and Confluence
  • Maintain discipline around CRM usage and data quality
  • Support structured, repeatable sales and customer growth processes

WAYS OF WORKING

  • Operates independently with minimal supervision
  • Highly organised with strong attention to detail and follow-through clear, professional communicator
  • Proactive in identifying gaps, risks, or breakdowns
  • Comfortable supporting multiple senior stakeholders
  • Trusted to progress follow-ups and book meetings without waiting for instruction
  • 3+ years’ experience in sales administration, sales support, or revenue operations
  • Strong written and spoken English
  • Experience supporting senior sales or account management roles
  • Comfortable managing multiple priorities and deadlines
  • High attention to detail and accountability
  • Confident working remotely with distributed teams

DESIRABLE SKILLS

  • Experience working in B2B professional services or technology consulting
  • Familiarity with Atlassian tools such as Jira and Confluence
  • Experience with CRM systems such as HubSpot or Salesforce
  • Exposure to proposal and contract management
  • Experience working with Australian or international teams

This is a remote role that will be set up as an independent contractor engagement.
