Job Description: Administrative Staff – International Local Recruitment

An Administrative Staff in an International Local Recruitment setting provides essential clerical, coordination, and documentation support to ensure smooth processing of candidates for overseas employment. This role involves handling applicant records, supporting recruitment officers, and maintaining accurate compliance with local and international hiring requirements.

Key Responsibilities

  • Assist in the day -to -day administrative operations of the recruitment office
  • Encode, update, and maintain accurate applicant records and databases
  • Receive, sort, and verify documents from job applicants (CVs, passports, certificates, etc.)
  • Coordinate with recruitment consultants regarding applicant status and requirements
  • Schedule interviews, assessments, and employer meetings (local or online)
  • Prepare and process employment -related documents for overseas deployment
  • Ensure completeness and accuracy of candidate files for submission to foreign employers
  • Communicate with applicants regarding requirements, updates, and next steps
  • Handle filing, scanning, and archiving of recruitment documents
  • Assist in compliance with POEA/DMW guidelines and other regulatory requirements (where applicable)
  • Support visa processing coordination and medical scheduling when required
  • Maintain confidentiality of applicant and company information at all times


Requirements

REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Office Management, or related fields
  • 1–2 years of experience in administrative or clerical work is an advantage
  • Proficient in MS Office (Word, Excel)
  • Excellent written and verbal English communication
  • Organizational and time management skills
  • Attention to detail and accuracy
  • Ability to multitask and prioritize duties
  • Dependable, discreet, and trustworthy
  • Good interpersonal skills and customer service orientation
  • Excellent customer care, with good personality and good oral and written communication skills.
