Subdivision Administrative Specialist (Davao)
The Subdivision Administration Specialist manage, administer, directs, coordinates, and oversees the overall day to day operations of the subdivision project such as security safety, maintenance, accounting, and customer service including the turnover of property to the respective buyers/owners. In addition, he/she also find ways to make the subdivision project more productive by providing effective methods in its operations that support of the company's direction and standards.
KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:
Facilities Maintenance
Implement regular schedule of routine and preventive maintenance program in subdivision project.
Maintain community appearance and ensure repairs are noted and completed on timely basis. This requires regular inspections to the common areas and limited common areas of the subdivision including the individual housing units with concern.
Ensure that Marketing Office, Models units and RFO's units are properly maintained.
Ensure that all service requests are recorded and communicated appropriately to maintenance provider.
Customer Services
Process the turnover of Housing units to buyers /owners.
Deal with resident concerns and requests on timely basis to ensure resident satisfaction with management.
Develop and/or implement resident retention programs (i.e. community activity, resident functions, monthly newsletters, etc.).
Ensure distribution of all company or community-issued notices (ei., bad weather, emergency, holiday etc.).
Financial
Maintain accurate records of all community transactions and submit on timely basis (ie., association dues billing and collection, delinquency reports, move In and Out, rental of amenities, etc.).
Prepare annual budget and income projections (Operating Expenses and Special Assessment).
Ensure that all rents and late fees/check charges are collected, posted and deposited in a timely manner.
Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.
