Job Brief
We are seeking a highly organised and detail-oriented Travel VA to provide essential administrative and operational support across our travel business. This role is responsible for maintaining accurate travel bookings, client records, financial data, and documentation within the Tramada platform, ensuring the smooth delivery of travel services from enquiry through to departure.
Working closely with travel consultants and the finance team, the successful candidate will support booking administration, itinerary preparation, invoicing, reconciliations, and reporting while maintaining exceptional data accuracy and operational efficiency. This position is ideal for a travel professional with strong Tramada experience who thrives in a fast-paced, process-driven environment.
Responsibilities
Travel Administration
Booking Administration: Maintain accurate client profiles, booking records, travel preferences, and reservation details within the Tramada system.
Itinerary Preparation: Process flight, accommodation, transport, and travel service bookings while preparing professional client itineraries and supporting travel documentation.
Travel Documentation: Generate quotations, invoices, receipts, confirmations, and other travel documentation in accordance with company procedures.
Client & Consultant Support: Provide administrative support to travel consultants, assisting with booking updates, documentation, and day-to-day operational requirements.
Financial Administration
Transaction Processing: Process booking transactions, service fees, and financial adjustments accurately within the travel management system.
Accounts Support: Assist with invoice processing, financial reconciliations, and general ledger (GL) code allocation to support finance operations.
Financial Record Management: Maintain accurate financial records and ensure supporting documentation is complete and compliant with company procedures.
Data & Systems Management
Data Integrity: Maintain accurate and up-to-date client, booking, and financial information across all systems.
Reporting: Generate operational and financial reports to support sales tracking, booking analysis, and management reporting.
Workflow Management: Monitor booking workflows to ensure travel documentation, invoicing, and administrative tasks are completed accurately and within required timeframes.
Process Improvement: Identify opportunities to improve administrative workflows, system utilisation, and operational efficiency.
Requirements
Previous experience working within the travel industry in a travel administration, reservations, or travel support role.
Demonstrated hands-on experience using the Tramada travel management system.
Strong understanding of travel booking processes, itinerary preparation, and client administration.
Experience supporting accounts functions, including invoicing, reconciliations, and financial administration.
Exceptional attention to detail and a high level of accuracy in data entry and record management.
Strong organisational skills with the ability to manage multiple priorities and deadlines simultaneously.
Excellent written and verbal English communication skills aligned with Australian professional standards.
Ability to work independently while collaborating effectively with travel consultants and internal stakeholders.
Strong problem-solving skills and a proactive approach to supporting business operations.

Education
Bachelor’s Degree in Tourism, Travel Management, Business Administration, or a related field.
Relevant vocational qualifications or certifications in Travel and Tourism will also be considered.
