Job Description - Vehicle Admin Cavite


Job Title: Automotive Vehicle Administrator

Location: JMC CAVITE
Department: Operations
Reports To: Inventory Manager

Job Summary:

We are seeking a detail-oriented and organized Automotive Vehicle Administrator to manage and support the administrative functions related to vehicle sales, service, inventory, and registration. The ideal candidate will have experience in automotive dealership or fleet operations and a strong understanding of vehicle documentation processes.

Key Responsibilities:

  • Handle all administrative tasks related to vehicle registration, licensing, and titling in compliance with local and national regulations.

  • Maintain and update vehicle inventory records, including stock numbers, VINs, and delivery status.

  • Process vehicle sales paperwork, including purchase agreements, invoices, and customer documentation.

  • Liaise with the DMV and other regulatory agencies to ensure timely and accurate processing of paperwork.

  • Coordinate vehicle deliveries and ensure all documentation is complete before handover.

  • Assist with service records, warranty submissions, and recall notifications.

  • Monitor and manage fleet or dealership management systems (DMS) such as CDK, Reynolds & Reynolds, etc.

  • Maintain accurate filing systems, both physical and digital, for vehicle records and customer documents.

  • Support the sales and service teams with various administrative tasks as needed.

  • Prepare reports on vehicle inventory, registrations, and compliance status.

Qualifications:

  • College graduate

  • Previous experience in automotive administration, fleet management, or dealership operations preferred.

  • Strong knowledge of vehicle registration and titling requirements.

  • Proficiency in Microsoft Office (Excel, Word, Outlook) and dealership management software.

  • Excellent organizational and time management skills.

  • Strong attention to detail and accuracy.

  • Ability to work independently and handle multiple tasks in a fast-paced environment.

Working Conditions:

  • Office-based role within an automotive dealership, fleet office, or service center.

  • Standard working hours, with occasional overtime during peak periods (e.g., end-of-month reporting, new model launches).
