The Role
To lead and optimize the production team's operations by ensuring the timely submission and shipping of purchase orders (POs), maintaining rigorous coordination with both USA and China suppliers for on-time sample deliveries, and fostering clear and effective communication across all levels of the company regarding product shipments. The Production Manager will be pivotal in upholding the standards of operational excellence, ensuring that every aspect of the production process aligns with Kitsch’s commitment to quality, efficiency, and responsiveness.
Job responsibilities and Key Result Areas:
Purchase Order Management and Leadership - Ensure 100% of purchase orders (POs) are submitted accurately and on time, adhering to predefined timelines.
- Monitor the entire PO lifecycle to guarantee that all orders are shipped according to the agreed schedule, with zero delays attributable to production management inefficiencies. If delays should occur to communicate to the company clearly so adjustments can be made
- Provide leadership in optimizing purchase order processes, fostering a culture of accountability and efficiency within the production management team.
Supplier Coordination and Management: - Establish and maintain robust relationships with all suppliers, both in the USA and China, ensuring they meet Kitsch's standards for quality and timeliness.
- Successfully negotiate and confirm shipping schedules with suppliers when POs are submitted achieving a 100% on-time sample delivery rate and facilitating swift approval processes.
Quality and Compliance Assurance: - Implement stringent quality checks and balances to ensure all products meet or exceed Kitsch's quality standards before shipment approval.
- Ensure all suppliers understand and comply with Kitsch’s expectations for product approval, achieving a 100% rate of collecting packing lists and Bills of Lading (BOLs) at least 5 days prior to the planned shipping date.
Internal Communication and Coordination: - Act as a liaison between different departments such as sales, marketing, and inventory management to ensure alignment on production schedules and inventory levels.
- Serve as the primary communication hub between suppliers and the Kitsch team, ensuring that all relevant departments are informed promptly about the status of product shipments.
- Guarantee that the company is notified immediately once a product has shipped from the supplier, and again when it arrives at the warehouse and is ready for distribution, maintaining a seamless flow of information.
Process Improvement and Reporting: - Continuously evaluate and refine production processes to increase efficiency, reduce costs, and improve product quality.
- Develop and maintain a comprehensive reporting system that provides real-time visibility into the status of POs, supplier performance, and shipping schedules, enabling proactive decision-making and adjustments.
- By fulfilling these objective outcomes, the Production Manager will play a critical role in fortifying Kitsch's supply chain resilience, ensuring operational efficiency, and contributing to the company's overall success through effective production management.
ABOUT YOU
- Bachelor's degree, preferably in relevant discipline.
- Proven experience in production management: This includes overseeing the manufacturing process, managing production schedules, and ensuring timely delivery of products.
- Proven track record of successfully managing projects: Must possess strong project management skills with experience in overseeing and following through on processes and projects.
- Able to manage multiple projects simultaneously, prioritize, think quickly and meet tight deadlines.
- Strong organizational skills and detail-oriented.
- Financial acumen and experience with budgeting, forecasting, and financial reporting.
- Proficiency in project management tools and software specifically ASANA
- Experience with photoshoot coordination and production is highly desirable.
- Creative mindset and a passion for driving innovative solutions.
- Excellent communication and interpersonal skills, including ability to collaborate with individuals from many areas and disciplines within the organization
- Previous work experience and knowledge of trending beauty industry is a plus
