Mission of Sales Admin Assistant:

The mission of the Sales Admin Assistant is to provide comprehensive support to the sales team in managing administrative tasks efficiently, ensuring seamless communication with carriers, overseeing procurement processes, and maintaining accurate data in freight management systems. This role is pivotal in optimizing operational workflows and enhancing overall sales performance.

Your responsibilities include:

  • Procurement:
    • Manage procurement activities by sending email blasts and making calls to establish communication with carriers.
    • Schedule and coordinate calls between carriers and the sales team, facilitating discussions and negotiations.
    • Collaborate with carrier representatives and client's EA, to ensure smooth communication and handoff of tasks.
    • Source and compile lists of carriers for potential collaboration, maintaining an updated database of contacts.
  • Load Management:
    • Daily distribution of available load lists to a designated list of carriers, ensuring timely updates and communication.
    • Coordinate with carriers for load bookings, detention, revised rates confirmations, and handling overages, shortages, and damages (OSDs).
    • Review and update booked loads to ensure all required information is correctly inputted.
    • Ensure timely communication of rate confirmations, driver information, and load updates to dedicated carriers.
  • Customer Project Support:
    • Coordinate monthly check-ins with dedicated carriers handling significant loads, managing calendar invites and scheduling.
    • Prospect carriers for upcoming customer projects, providing status updates and ensuring proactive engagement.
  • Operations Support:
    • Track and trace mechanical breakdowns, overseeing repair completion and updating relevant stakeholders.
    • Verify bounce loads and late fall-offs, ensuring proper notification to carrier reps and system readiness for recovery coverage.
    • Follow up on no-tracking loads, liaising with carrier reps to ensure timely driver tracking and updates.
  • Reporting and Analysis:
    • Run reports at specified intervals to monitor shipment statuses and pending pickups, enhancing visibility for carrier reps and customer operations.
    • Compile and analyze data on active loads for the week and month, proactively reaching out to carrier reps for coverage.
    • Coordinate monthly check-ins with dedicated carriers hauling more than 10+ loads per month.

Expectations for Performance:

In your first 30 days on the job:

In your initial 30 days, anticipate daily meetings, subject to the COO's schedule, for a swift and comprehensive onboarding. These sessions will focus on instilling our company values, clarifying organizational structures, and immersing you in your role's particulars. We'll address practical aspects, such as email management and project overviews, ensuring a smooth integration. This intense daily interaction aims to promptly resolve queries and optimize your workflow. As you grow more accustomed, we'll transition to weekly meetings, striking a balance between ongoing collaboration and granting you the autonomy to excel in your responsibilities.

Qualifications:

  • Possesses good communication skills 
    • Great English - written and orally 
  • Must have experience in sales administration, customer service, and procurement/sourcing.
  • Experience with phone communication, particularly with carriers in the transportation industry.
  • Familiarity with freight management software, transportation management software, and Microsoft Suite.
  • Strong attention to detail and process-oriented mindset.
