Job Description - Admin Assistant & Marketing Coordinator (Part-Time) (0010-0694)

Job Role: Admin Assistant & Marketing Coordinator (Part-Time)

Compensation range: $850 NZD - $1,200 NZD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to require up to 20 hours per week, with a strong potential to grow into a full-time arrangement. As a contractor, you’ll have flexibility in how you manage your schedule, but availability for occasional collaboration during NZ business hours is preferred.

Who We Are: At Hunt St, we help Australian and New Zealand companies hire top remote talent in the Philippines. You will be hired directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: A busy, high-performing mechanics workshop based in Queenstown, New Zealand. They take pride in quality work, a tight-knit team, and delivering a great customer experience. As they grow, they're looking for a smart, reliable remote professional to take over key admin, operations, and marketing tasks — so their on-the-ground team can stay focused on what they do best.

Role Overview: This is a varied, hands-on support role — perfect for someone who loves juggling a mix of admin, finance, and digital tasks. You'll be working closely with the business owner and service team, learning our systems and SOPs, and gradually taking ownership of key recurring tasks.

We have solid systems and documented processes in place. You won't be figuring things out from scratch, you'll be stepping into a well-run operation and helping us run it even better.

Key Responsibilities: 

Admin & Finance

  • Invoicing support and follow-up
  • Payroll processing
  • Xero reconciliation
  • Entering supplier invoices
  • Creating weekly financial and operational reports

Operations & Performance

  • KPI tracking across the team
  • Technician performance metrics
  • Maintaining and updating reporting dashboards

Customer & Growth

  • Sending customer reminders and follow-ups via Mechanic Desk
  • Monitoring and improving estimate conversion
  • Responding to Google Reviews
  • Social media scheduling (Meta Business Suite)
  • Updating website content (WordPress)
  • Basic SEO maintenance and updates

Systems You'll Be Working In

  • Mechanic Desk — primary workshop management system (training provided)
  • Xero — accounting and invoicing
  • Canva — social media and marketing content
  • Meta Business Suite — social media scheduling and management
  • WordPress — website content updates

Required Skills and Qualifications:

  • Minimum 2–3 years experience in a similar admin, coordinator, or operations support role.
  • Strong English communication skills — written and verbal.
  • Comfortable working across multiple systems and learning new tools quickly.
  • Experience with Xero or similar accounting software (desirable).
  • Experience with WordPress or website content management.
  • SEO basics — updating meta descriptions, keywords, page content.
  • Canva and basic social media experience.
  • Bookkeeping or accounts experience beyond basic data entry.
  • Detail-oriented, reliable, and self-managed — you own your tasks.
  • Available to overlap with NZ business hours for key check-ins.

Nice to Have

  • Background in a trade, automotive, or service business environment.

Work Arrangement & Expectations:

This is a remote role that will be set up as an independent contractor engagement.

To ensure alignment and transparency, successful candidates will be expected to:

  • Be available for meetings and collaboration during core NZ business hours
  • Disclose any existing ongoing roles or client work
  • Reflect this engagement on their LinkedIn profile (clearly marked as “Independent Contractor”)
