Job Description - Global Shared Service Project Manager

To support the ongoing migration of banking activities into our financial institution’s Center of Expertise (shared services), we are seeking a Project Manager with strong experience in migration projects. This role will focus specifically on the HR aspects of the migration, complementing a broader project team managing the Target Operating Model (TOM) and process migration.
1,300 zł - 1,700 zł a day
Key Responsibilities:

Supporting HR Activities:
Support recruitment processes for multiple service lines (e.g., Internal Controls, Financial Accounting).
Coordinate with HR teams to ensure efficient onboarding and training of new employees.
Provide regular updates on recruitment and training progress.
Technical & Operational Readiness:
Ensure that all necessary technical systems, tools, and system access are prepared for new hires.
Coordinate with IT and technical teams to address and resolve access issues.
Reporting & Stakeholder Management:
Prepare and deliver clear status updates to internal Steering Committees (SteerCos).
Ensure transparent communication of project progress to stakeholders at all levels.
Monitoring KPIs & Milestones:
Define, monitor, and report on key performance indicators (KPIs) and project milestones.
Use data-driven insights to adapt plans and ensure successful delivery.
Capacity Planning:
Support the development of capacity plans to maintain adequate staffing levels.
Balance workloads and resource allocation effectively.
Activity Transfer:
Oversee the HR aspects of activity transfer from an EU country to Poland, ensuring alignment with the migration plan.
Facilitate a smooth transition to minimize operational disruption.
Job Descriptions:
Develop clear, detailed job descriptions aligned with project goals and organizational standards.
Agile Coordination:
Define the product roadmap and ensure an organized, prioritized product backlog.
Break down deliverables into manageable sprint plans, ensuring clarity and accountability.
Facilitate regular project and process reviews in line with agile principles.
Project Governance:
Contribute actively to program management activities as required.
Establish and maintain local project governance frameworks to ensure compliance and quality standards.
Implement best practices for project delivery and risk management.

Qualifications:

Education:
Bachelor’s degree in Business Administration, Finance, HR, or a related field.
A Master’s degree or relevant certifications (e.g., PMP, Scrum Master) are an asset.
Experience:
Minimum 5 years of proven project management experience, preferably within a financial institution.
Prior experience in a shared service or Center of Expertise environment is advantageous.
Demonstrated experience managing mid-scale transfers or migrations (up to 100 employees), including onboarding and training programs.
Familiarity with capacity planning and work package definition.
Experience in operational readiness is a plus.
Skills:
Excellent organizational and time management skills.
Strong communication and interpersonal abilities.
Hands-on experience with agile delivery: product roadmaps, backlog management, sprint planning, and project reviews.
Ability to work independently and collaboratively in a team environment.
Understanding of financial institution back-office processes is an asset.
Languages:
Fluency in English is mandatory.
Knowledge of German and Polish is an advantage.
Additional Requirements:
Based in Kraków or able to travel to Kraków regularly; willingness to travel to Warsaw as needed.
Familiarity with Polish labour law and local HR regulations.
Experience working in a multinational or multicultural environment.
Knowledge of HR systems (recruitment, onboarding, payroll) is desirable.
