Job Description - Medical Affairs Operations Specialist

What You Will Achieve

  • Work in a structured environment using established procedures, seeking guidance from colleagues and exercising judgment with reliance on the supervisor.
  • Represent the organizational unit on administrative matters, recommending, interpreting, and implementing internal administrative policies and procedures.
  • Perform a combination of administrative tasks in various functional areas to maximize business efficiencies, including event planning, customer service, and technical writing/editing.
  • Support project management activities, interpret business data, and act as the single point of contact for business operations reporting.
  • Provide comprehensive information management support, including maintaining contact lists, project responsibility lists, and facilitate travel coordination activities.
  • Oversee the training and induction of new team members, ensure timely updates of process job aids and SOPs, and serve as the central expert on specific external regulatory websites and repositories.

Here Is What You Need (Minimum Requirements):

  • BA/BS degree with any years of experience, or Associate's degree with 4+ years of experience, or high school diploma (or equivalent) with 6+ years of relevant experience
  • Proficiency in Microsoft Office Suite
  • Strong verbal and written communication abilities
  • Ability to manage multiple tasks and prioritize effectively
  • Strong organizational skills and attention to detail

Bonus Points If You Have (Preferred Requirements):

  • A strong understanding of the pharmaceutical industry and scientific academic research environments
  • Knowledge of commercial and business analytics processes
  • Experience with project management tools and methodologies
  • Familiarity with regulatory compliance and industry standards
  • Demonstrated ability to handle confidential information with discretion
  • Experience using common AI tools, including generative technologies such as ChatGPT or Microsoft Copilot, to support problem solving and enhance productivity. Demonstrated curiosity for exploring how these tools can improve outcomes and understanding of responsible AI practices, including risk management and ethical use
