Position Summary:
We are looking for a reliable and detail-oriented People Operations Specialist II to join our team in Poland. In this role, you will support the day-to-day HR operations, payroll processes, and office administration, helping ensure that everything runs smoothly and efficiently.
What You’ll be doing:
People Operations & Employee Experience
Act as a primary HR contact for Poland-based employees, providing day-to-day support and handling queries via HR mailbox and direct communication;
Support onboarding and offboarding processes, including documentation, HR orientations, and exit procedures;
Ensure compliance with Polish labor law and internal policies;
Maintain strict confidentiality and GDPR standards.
Payroll Support & HR Administration
Maintain accurate employee records and personnel files in compliance with Polish labor law;
Prepare employment contracts, annexes, and HR documentation;
Act as the main point of contact for payroll vendors;
Prepare and validate monthly payroll data (absences, variable elements);
Manage time-off tracking and reporting across multiple leave types;
Administer employee benefits (private healthcare, life insurance, sports cards, lunch allowances);
Coordinate tuition assistance program processes.
Office Management
Oversee office administration, vendor coordination, and workplace operations.
Manage relationships with external service providers (landlord, suppliers, cleaning services, etc.).
Ensure compliance with Occupational Health & Safety requirements (including Fire Safety Coordinator role).
Manage office access, seating arrangements, and workspace logistics.
Coordinate company events, internal initiatives, and employee engagement activities.
What we're looking for:
Bachelor's degree in HR/administration and/or equivalent formal training or work experience;
+3 years of proven experience in HR operations, payroll support, office management, or a similar role;
Knowledge of Polish labor law and HR administrative processes;
Strong organizational skills and attention to detail;
Ability to manage multiple priorities in a fast-paced environment;
Excellent communication and interpersonal skills;
High level of discretion and ability to handle confidential information;
Experience working with external vendors and service providers;
Fluency in Polish and English.
