Description

The Personnel Administration Specialist executes and optimizes operational HR processes for Italian and Spanish entities. This role ensures absolute data accuracy, regulatory compliance, and the delivery of efficient HR administrative services. Working in close synergy with local HR teams focuses on HR data integrity, workforce administration, reporting, and operational controls.
 

 

 



Responsibilities

Key Responsibilities

  • Time & Attendance Management (Italy)
    • Manage the local time and attendance platform (Zucchetti), handling employee corrections and system updates
    • Conduct monthly data validation and pre-payroll checks to ensure accurate attendance reporting
  •  Payroll Support (Spain)
    • Provide ad-hoc support and assistance for Spanish payroll processes as required
  •  HR Data Management & Employee Lifecycle
    • Execute data entry and continuous updates within MyHR systems (including compensation adjustments, training records, and lifecycle events)
    • Guarantee the consistency, accuracy, and alignment of employee data across all HR platforms
  • Expense & Concur Control
    • Audit and validate employee business expenses using Concur
    • Ensure strict adherence to global and local corporate travel and expense policies
  • Workforce & Vendor Administration
    • Monitor and manage the administration of temporary workers
    • Audit staffing agency invoices against contractual terms, verifying applied tariffs and agreements
  • Analytics, ESG & Compliance Reporting
    • Extract, prepare, and analyze HR data, including absenteeism reports and KPIs for management review
    • Support HR and Sustainability teams in gathering data for CSRD (Corporate Sustainability Reporting Directive) and Pay Gap Transparency reporting


       


Qualifications

Required Skills & Competencies

  • Proven experience in HR Data Management platforms (preferably Oracle)
  • Solid understanding of Spanish payroll mechanisms and general personnel administration
  • English: Fluent / Professional (Mandatory)
  • Spanish: Professional Working Proficiency
  • Knowledge of Italian is an advantage
