Descrição do Emprego - Personal Assistant to the CEO

Position

As a Personal Assistant to the CEO, you will handle a broad range of duties to enhance the CEO's productivity and facilitate their daily activities. Responsibilities include managing the CEO's email and schedule, ensuring prompt and efficient correspondence and optimal calendar organization with internal and external parties. You will prepare for and follow up on meetings, manage travel arrangements, and support project management. Additionally, you will handle financial tasks such as expense reporting and personal financial management. The role extends to personal responsibilities, including managing the CEO's personal appointments, errands, and projects, as well as assisting with gifts, social obligations, and various administrative tasks. This position requires excellent organizational skills, proactive problem-solving, and the ability to manage multiple tasks seamlessly.

Timezone: UK (GMT / GMT+1)
Commitment: part-time for 3 months, with the possibility to convert to full-time
Start: May 2024

Professional Responsibilities

  • Email and Correspondence Management: Filter the CEO's emails and respond to them on their behalf where appropriate, ensuring that urgent correspondence is prioritised and dealt with promptly.
  • Schedule Management: Manage the CEO's calendar, including scheduling meetings, appointments, and conference calls. This involves coordinating with internal and external stakeholders, ensuring there are no conflicts, and optimising the CEO's daily schedule for efficiency.
  • Meeting Preparation and Follow-up: Prepare briefing materials for meetings, take notes during meetings as required, and follow up on action items to ensure they are completed.
  • Travel Arrangements: Plan and book travel, including flights, accommodations, and itineraries. Ensure all necessary documents and arrangements are in place for a smooth travel experience.
  • Project Management Support: Assist with managing projects by tracking deadlines, coordinating with team members, and ensuring the CEO is updated on project progress.
  • Expense Reports and Financial Management: Manage expense submissions, ensuring they are accurate, submitted on time, and in compliance with company policies. Assist with personal financial management tasks as required.

Personal Responsibilities

  • Personal Appointments and Errands: Schedule and manage personal appointments and handle personal errands as requested by the CEO.
  • Personal Projects and Tasks: Assist with personal projects or tasks, from researching topics of interest to managing personal investments or other activities.
  • Admin work: Assist with administrative work such as tax fillings, utility company provision and others as required.
  • Gifts and Social Obligations: Manage the selection, purchase, and delivery of gifts for personal and professional contacts. Assist with planning and coordinating social gatherings or events the CEO wishes to host.
  • Representation: Act as a representative of the CEO when required, displaying professionalism and discretion in all interactions.
  • Confidentiality Maintenance: Maintain the highest level of confidentiality regarding the personal and professional life of the CEO.

Qualifications

  • 3 Years of Relevant Experience: Previous administrative or executive support role in a fast-paced environment.
  • Bachelor's Degree: Preferably in Business Administration, Communications, or a related field.
  • Communication Skills: Excellent verbal and written communication.
  • Organizational Skills: Expertise in managing schedules and prioritizing tasks.
  • Technical Skills: Proficiency in Google Workspace management and project management tools.
  • Interpersonal Skills: Professionalism in handling interactions and maintaining relationships.
  • Problem-Solving Skills: Strong analytical abilities and foresight.
  • Adaptability and Flexibility: Capable of managing dynamic schedules and diverse tasks.
  • Attention to Detail: High level of accuracy in task execution.
  • Financial Management: Basic skills in expense reporting and budgeting.
  • Travel Planning: Experience in arranging travel and accommodations.
