Ferring + You
This is a central role in Reproductive Medicine Franchise and an opportunity to work closely with a global marketing team and to support marketing projects for the right individual. The role oversees all the administrative operations happening within the Franchise and supports project management of the team’s activities. The Coordinator organizes projects, contract management, budgets, documents and other administrative work for the franchise, including assistant to Senior Vice President with a minimum of guidance and direction. This individual must demonstrate a firm understanding of business priorities and function as a respected, active team member who can work effectively across many levels of the organization, work seamlessly across Ferring sites and cultures, as well as manage and optimize relevant work processes and workflows within own areas of responsibility.
Your day at Ferring
Management tools and tracking
Management of all departmental budget, invoices, vendors, POs, etc. including coordination with correspondent functions (i.e. Finance and Legal) as required
Manage team communications tools including Sharepoint, Teams channels and distribution lists
Supports project management of the teams’ activities ensuring these are coordinated, tracked and leads are held accountable for updating on status and actions
General administrative / secretarial duties to Sr. Management such as calendar management, mail processing, presentations, minutes of meeting, filing/ documentation etc. with full discretion, dedication, and loyalty. To make travel arrangements for Sr. Management and make the necessary bookings as well as expense management. Schedule stakeholder meetings, document and generate reports
Organize events, such as internal and external meetings, conferences, visits from guests, business conferences etc. to collaborate with global ops teams as required for franchise / TA events planning
To sort all kind of documents (i.e. correspondence, invoices, etc.) and file them accurately. To keep archives up-to-date. To prepare and submit expense claims. Ensure contracts are uploaded to relevant systems
Foster cross-team collaboration to help franchise team members and other stakeholders complete project tasks and produce deliverables

Bachelor’s degree in administration or related areas preferred
5+ years’ experience in administrative support, in coordination roles, project management or general administration, preferably supporting executive level
Excellent project management skills and the ability to handle multiple, competing projects simultaneously to meet tight deadlines
Excellent written and verbal communication skills; ability to communicate effectively across the organization. Ideally conversant with and interested in tools for content creation and AI
An experienced and strong user of PowerPoint, Excel, Teams, Sharepoint, as well as PO, expense management and compliance. Demonstrated ability to maintain confidentiality about sensitive matters
Ability to set plans, and manage multiple plans or aspects simultaneously, with efficient capacity to anticipate and adjust for problems and roadblocks
Demonstrate a sense of urgency, initiative, responsiveness, and attention to detail. Maintain positive attitude, self-motivation, take accountability and ownership on ongoing basis
Demonstrate intercultural and high-level professionalism in external communication
