Northern Health are seeking applications from motivated and suitably experienced Fixed Term Part Time Administration Officer to join the Cardiology Outpatient Services team.


 


Northern Health is the major provider of acute, maternity, sub-acute, mental health, specialist, community and home-based services in Melbourne’s rapidly growing outer north.


Services are provided through our six main campuses:


Northern Hospital Epping, Broadmeadows Hospital, Bundoora Centre, Craigieburn and Mernda Community Hospitals and Kilmore District Hospital.  In addition, Mental Health Services are provided at Epping, Broadmeadows, Jacana, Preston, Mill Park, Mernda and Coburg.


 


About the Role:



  • Coordinate clinic schedules, clinician leave, and appointment allocations

  • Ensure clinics are fully booked and manage overbooking or template changes

  • Escalate clinical queries and booking issues to relevant clinicians

  • Manage patient correspondence, enquiries, and mailbox

  • Monitor and report on waitlists, referrals, and clinic activity KPIs

  • Support efficient outpatient service operations and continuous improvement

  • Maintain high standards of customer service, privacy, and confidentiality

  • Perform general administrative duties and provide team support as required


 


To be successful in this role you will have:



  • Previous experience in complex, busy health service environments, including referral services

  • Experience using Health IT systems (e.g. iPM, Client Patient Folder)

  • Strong patient-centred approach

  • Ability to work both autonomously and collaboratively within a team

  • Excellent communication and interpersonal skills

  • Strong problem-solving and analytical abilities

  • High attention to detail and accuracy

  • Effective time management and ability to meet deadlines

  • Ability to implement and support change

  • Professional integrity and stakeholder communication skills
