The Banquet Assistant Manager is responsible for organizing and coordinating Banquets inside Voila venues and outside at clients requested venues. The main task is to ensure smooth execution of functions by coordinating among different departments and to arrange for the proper and timely set up and delivery of recommended services and products.
In this role, the supervisor will report to the Catering Operations Manager and will coordinate with the Storekeepers, drivers, Service and Kitchen teams.
Ø Banquet Event Order (BEO): Read, assess, and execute BEOs and Banquet Function Plan (FP) to gather client requirements and determine the appropriate set-up, buffet, and related products and services.
Ø Venue Set up: Overseeing and executing the setup of banquet halls, event equipment, including tables, chairs, service wares, food stations and stages ensuring everything is arranged according to the client's specifications and event theme.
Ø Event Planning: Collaborating with clients to understand their event requirements, including themes, guest count, and special requests.
Ø Logistics Coordination: Organizing logistics such as catering, decorations, seating arrangements, audio-visual equipment, and transportation.
Ø Staff Management: Supervising event staff, including servers, decorators, and technicians, ensuring they are well-trained and perform their duties efficiently.
Ø Problem Solving: Addressing any issues that arise during events, such as catering mishaps, technical difficulties, or guest complaints, and resolving them promptly.
Ø Budget Management: Managing budgets, tracking expenses, and ensuring all expenditures stay within the allocated budget in the BEO and Function Plan.
Ø Asset Management and Control: Ensure all assets are properly maintained and returned to the store in good condition.
Ø Client Communication: Maintaining clear communication with clients before, during, and after events to ensure their satisfaction and address any concerns.
Ø Timeline Management: Creating and adhering to event timelines, ensuring that each segment of the event runs smoothly and on schedule.
Ø Post-Event Evaluation: Conducting post-event evaluations to gather feedback from clients and guests, analyzing the event's success, and identifying areas for improvement.
