Job Description - Leasing Administrator

KEY RESPONSIBILITIES & ACCOUNTABILITIES:


 


Lease Administration:





    • Prepare, review, and process lease agreements and renewals in coordination with the Leasing Manager.

    • Ensure lease documentation is complete, accurate, and compliant with mall policies and local regulations.

    • Maintain a detailed database of all lease agreements, including start and end dates, rental terms, and tenant details.

    • Track lease expiration dates, renewals, and option periods, notifying the Leasing Manager in advance.




Tenant Coordination:





    • Serve as the primary point of contact for tenants regarding leasing inquiries, document submissions, and contract-related concerns.

    • Coordinate with tenants for timely submission of required documents, such as insurance certificates and security deposits.

    • Address tenant requests, escalations, and queries related to lease agreements.




 Financial Management:





    • Coordinate with the Finance Department on rent collection, invoicing, and reconciliation of tenant accounts.

    • Assist in calculating rent adjustments, including service charges, utility payments, and other additional costs as per the lease agreements.




 Reporting & Documentation:





    • Generate regular leasing reports, including occupancy rates, lease renewals, and upcoming vacancies.

    • Ensure proper filing and archiving of all leasing documents, both electronically and physically, as per the organization’s protocols.

    • Provide support in drafting lease summaries and lease amendments when required.




 Compliance & Legal:





    • Ensure that all leasing activities comply with local laws and regulations.

    • Work closely with the legal team to ensure lease documents are aligned with current legal standards and changes.




 Administrative Support:





    • Assist the Leasing Manager with administrative tasks such as scheduling meetings, organizing tenant events, and preparing presentations.

    • Ensure smooth communication and collaboration between the Leasing Department and other departments such as Marketing, Operations, and Facilities Management.




 Market Research & Analysis:





    • Conduct market research on industry trends, rental rates, and competitor offerings to support leasing strategies.

    • Assist the Leasing Manager with prospective tenant outreach and negotiation of lease terms.




 


 


Job Specification:


 


Qualifications:


 



  • Bachelor’s degree in business administration, Real Estate, or a related field.

  • Minimum 5 years of experience in lease administration, preferably in a shopping mall or retail property environment.

  • Familiarity with lease terms, conditions, and the legal framework surrounding commercial leases.

  • Strong understanding of the retail market in the Middle East is a plus.
