Job Description - Customer Service (INGM02)





Backoffice Shipping Coordinator 
Sibiu | Romania | Full Time

Your Mission  




Ensures the efficient coordination of the Shipping Backoffice team, guaranteeing compliance with delivery deadlines, customer requirements, legal standards, and internal procedures. 




 
Key Responsibilities 






  • Coordinates the activity of the Shipping Backoffice team and ensures compliance with delivery deadlines and internal procedures. 








  • Checks the correctness of packaging and ensures it meets customer requirements and internal standards. 








  • Oversees the preparation and verification of transport documentation (CMR, Delivery Note, Packing List, Dispatch Note, Commercial Invoice), as well as the accurate recording of data in the ERP system. 








  • Analyzes discrepancies reported by the team and approves corrective solutions. 








  • Monitors truck loading rates, compliance with time windows, and loading bay occupancy. 








  • Supervises the accurate entry of data and documents into customer and third-party (B2B) portals, including packaging-related information. 








  • Ensures legal and fiscal compliance by verifying the timely declaration of deliveries in the UIT system. 








  • Coordinates collaboration with factory teams for the prioritization of special orders and urgent situations (e.g., backlog/claims). 








  • Analyzes weekly/monthly performance indicator reports and forwards them to management. 








  • Coordinates troubleshooting in case of issues arising during loading or delivery. 








  • Reviews and approves packing instructions prepared by the team, ensuring their update in line with customer requirements. 








  • Coordinates the team’s participation in annual inventories and related reporting activities 






 
What You’ll Bring 








  • University degree, preferably in Economics, Logistics, or Engineering 








  • Speaks English at an advanced level 








  • Proficient in Excel 








  • Minimum 2 years of experience in logistics/transport, including at least 1 year in a team coordination role or similar activities 








  • Experience working with ERP systems (SAP or equivalent), B2B portals, and transport documentation 








  • Team coordination and development skills, with a focus on motivation and constructive feedback 








  • Open minded, good communicator, proactive and energetic
