Client Description:

Responsibilities:

  • Provide employees and guests with ongoing customer service.
  • Answering incoming calls & processing of incoming and outgoing mail.
  • Order stationery and office supplies, manage inventory – Sustainable products/services where possible.
  • Assist with follow-through for maintenance agreements, office insurance, and contracts.
  • Contact for building manager, cleaning company, suppliers, and other 3rd parties.
  • Maintains a clean, safe, functional, happy, and productive office environment.
  • Internal communication – Ensure all local announcements are communicated to staff in a timely and friendly manner.
  • Ensures waste is properly recycled and staff is following these guidelines.
  • Support compliance of the office with regulations, including the Health & Safety domain.
  • A core part of the LIMT team (Local Incident Management Team) & also trained in First Aid.
  • Ensure follow-up with the Finance department regarding invoices and budget anticipation for office needs (events, retreats, office supplies).
  • Onboarding of new employees on facilities processes, emergency procedures, office tours, and access cards.
  • Efficiently participate in planning and organizing company meetings/events and arrange catering (sustainable where possible).
  • Travel bookings (air, hotel, transfers & keep all files updated).
  • Anticipation of and response to office needs as they emerge (including ticketing system) and other office management tasks.
  • Candidate Profile:

  • Excellent organizational and time management skills
  • Proficiency in MS Office (Word, Excel, Outlook)
  • English language advanced level
  • Strong communication and interpersonal abilities
  • Attention to detail and problem-solving skills
  • Ability to multitask and prioritize tasks
  • Benefits:

  • Working days are Monday through Friday (9:00-17:30) only from the office, Central zone;
  • Meal tickets: 30 lei/day
  • Easter tickets: 150 lei
  • Gym reimbursement: 50% from the invoice
  • Public transportation: 100 lei/month
  • Medical insurance: 206 lei/month
  • Annual leave: 21 days
  • Volunteer days: 2 days/year
