JOB PURPOSE:
The Crew Services Officer is responsible for overseeing all administrative tasks related to crew and flight dispatch licensing and managing the documentation for all mandatory crew documents. This role involves managing the licensing process, maintaining accurate records, ensuring compliance with regulatory requirements, and overseeing the documentation for all mandatory crew documents, including visas, medical certificates, and training records.
KEY ACCOUNTABILITIES:
- Coordinate and manage the licensing process for crew and flight dispatch personnel, including initial applications, renewals, and endorsements.
- Maintain accurate and up-to-date records of all licensing documents, ensuring compliance with regulatory standards.
- Liaise with regulatory authorities, such as the General Authority of Civil Aviation (GACA), to obtain necessary approvals and ensure adherence to licensing regulations.
- Process and submit licensing applications, ensuring completeness and accuracy of documentation.
- Assist crew and flight dispatch personnel in understanding licensing requirements and procedures.
- Monitor license expiration dates and coordinate timely renewals to ensure continuous compliance.
- Handle inquiries and requests related to licensing from internal stakeholders, regulatory authorities, and external agencies.
- Collaborate with other departments, such as Training and Regulatory Affairs, to ensure alignment of licensing procedures with company policies and regulatory standards.
- Maintain and update the documentation for all mandatory crew documents, including visas, medical certificates, and training records.
- Ensure that all mandatory crew documents are complete, up-to-date, and compliant with regulatory requirements.
- Prepare reports and documentation for internal and external audits related to licensing and crew documentation activities.
- Assist in the development and implementation of policies and procedures related to licensing and crew documentation administration.
PROFESSIONAL EXPERIENCE:
- Previous experience in aviation administration, licensing or regulatory affairs is preferred.
- Knowledge of aviation regulations and licensing requirements, particularly those set forth by GACA or relevant regulatory authorities.
- Strong organizational skills with attention to detail and accuracy.
- Excellent communication and interpersonal skills, with the ability to interact effectively with internal and external stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Strong problem-solving skills and ability to adapt to changing priorities and requirements.
- Ability to work independently and manage multiple tasks simultaneously in a fast-paced environment.
- Fluency in English, Arabic would be an advantage.
ACADEMIC QUALIFICATIONS:
- Bachelor’s degree or related vocational experience advantageous.
SKILLS:
- Flexibility to work occasional evenings or weekends to meet deadlines or accommodate urgent licensing needs.
- Willingness to undergo training or certification programs as required to enhance knowledge and skills in aviation licensing procedures and regulations.
- Commitment to maintaining confidentiality and handling sensitive information with discretion.
