Job Description - Executive Secretary / Office Manager

Job Description

The primary function of the Executive Secretary’s job is to provide principal secretarial and office management support to the Senior / Management Executive.

Job responsibilities will include:

  • As an Executive Secretary, you will play a crucial role in providing administrative support to the executive team, ensuring seamless daily operations. This involves managing their emails, calendars, scheduling meetings, and coordinating travel arrangements with efficiency and attention to detail.
  • Managing confidential and sensitive information with the utmost discretion and integrity.
  • Safeguarding sensitive data and ensuring utmost confidentiality in managing confidential materials.
  • Ensuring the accuracy and professionalism of written materials, including reports, memos, and presentations.
  • Upholding the highest standards of confidentiality by managing sensitive documents and discussions.
  • Contributing to a functional work atmosphere by supervising office management tasks, from supplies to technical support.

Skills

  • Effective English communication specialist skilled in drafting sophisticated written and spoken content, producing reports, and maintaining tactful engagements with internal and external associates.
  • Resourceful Problem Solver: Skilled in identifying challenges and implementing innovative solutions, utilizing strong analytical abilities and attention to detail to streamline processes and enhance productivity.
  • Well-versed in utilizing various office software and collaboration tools, facilitating efficient communication and data management, while readily adapting to emerging technologies.
  • Minimum 08 years of experience of working as a Executive Secretary to higher management
  • Bachelors' Degree from a recognized University
  • Knowledge and working experience with MS-Office
  • English language proficiency
  • Proven experience of producing correspondence and documents
  • Excellent interpersonal skills
  • Professional and approachable
  • Time management
  • Stress tolerance
