The Role:

The Sales Performance & Support Coordinator is responsible for directly supporting the Director of Sales and the Sales department in various areas. This role includes being the key operator for the Opera Sales and Events system, ensuring the sales team effectively manages customer data to support proactive account management and development practices. Additionally, the Coordinator will provide support to the Director of Sales and Marketing and assist with general office tasks such as handling mail, answering phones, and providing additional office support as required.

Key Areas of Responsibilities:

• Perform administrative duties such as managing account database.

• Provide alternative telephone coverage for the office.

• Prepare proposals and contracts if needed.

• Responsible for Purchase Order preparations for the Department. Order supplies and maintain inventory control.

• Coordinates monthly with accounting to check and adjust all department expense.

• Assist in preparation of the sales yearly budget and expenses.

• Organise travel and accommodation for the Sales department.

• Coordinate all internal Sales meetings and events.

• Initiate, organize and streamline team conference calls / webinars.

• Take detailed meeting minutes and compile follow up documents, reports, and correspondence.

• Prepare proposals and contracts if needed.

• Ensures Optimum Department Automation.

• Guarantees Opera Sales & Events is Running Optimally.

• Conducts Account and Booking Audits.

• Assists Managers in Selling Process.

• Maintains system Utilities.

• Trains users in Opera Sales & Events to maintain and improve team competence.

• Act as Sales and Marketing organization representative to Opera Sales and Events Software and other key sales software suppliers.

• Provide analytical and performance support (report generation) to the Sales team.

Person Specification:

The ideal candidate for this role should possess strong multitasking abilities, demonstrating a solution-oriented approach to handling various tasks efficiently. They must excel in customer service, maintaining robust relationships with clients and prioritizing their needs. Initiative and teamwork are crucial, as the candidate should take prompt action and collaborate effectively with colleagues and managers. Strong computer skills, including proficiency in Microsoft Office Suite and internet usage, are essential, along with excellent verbal and written communication skills. The candidate should be highly organized, self-motivated, and capable of prioritizing work independently. Additionally, they should exhibit attention to detail, flexibility, and a willingness to respond to hotel safety or emergency situations as required.
