Position : Order Management Officer - Manufacturing

Location : Saudi Arabia – Dammam

Type : Full-time

The Order Management Officer is responsible for executing the entire purchase order (PO) and freight management process. This role involves following up on the full cycle of these processes to ensure timely delivery of goods. The ideal candidate will have strong organizational skills, attention to detail, and experience in supply chain management.

Key Responsibilities:

PO Management:

  • Initiate PO Process: Request a Proforma Invoice from the vendor and create a PO in SAP after reconciling.
  • Internal Follow-up: Ensure the PO is fully released in the system by following up internally.
  • Vendor Communication: Communicate released PO details with the vendor and obtain acknowledgment with initial readiness details.
  • Payment Terms: Finalize payment term requirements (LCs, Advance, etc.) by following up with the vendor.
  • Shipment Readiness: Follow up with the vendor until the goods are ready for shipment.

Freight Management:

  • Freight Forwarder Nomination: Analyze the tendering process and nominate a freight forwarder for the shipment.
  • Pre-shipment Follow-up: Ensure shipment processes are managed properly by following up with vendors and forwarders.
  • SAP System Management: Create shipments in the SAP system, including Inbound Creation, Shipment Creation, and Cost Creation.
  • SABER Document Process: Manage SABER documentation for KSA shipments.
  • Post-shipment Follow-up: Collect original shipment documents on time for customs clearance by following up with vendors and forwarders.
  • Shipment Tracking: Track shipments and update events in the SAP system (ETD/ETA/ATP, etc.).

Exceptional Management:

  • Shipment Discrepancy: Settle discrepancies in shipments (Excess/Shortage).
  • Commercial Invoice Variance: Resolve any commercial invoice variances.

Qualifications:

  • Experience: 2 to 3 years of experience in the industry, or a related field.
  • Education and Certifications: Bachelor’s degree in business, industrial engineering, supply chain, or related field required.
  • Technical Skills: Proficiency in software and systems (e.g., ERP systems).
  • Analytical Skills: Strong analytical and problem-solving skills, with the ability to analyze data and make informed decisions.
  • Attention to Detail: High attention to detail to ensure accuracy in inventory records and transactions.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organizational Skills: Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Teamwork: Ability to work effectively as part of a team and collaborate with other departments.
