Sales & Marketing Coordinator

KSA, Jeddah

Job Description

Public Relations Officer (PRO)/ Sales & Marketing Coordinator is responsible for the full executive support of Saudi Arabia and creating and keeping all the legal required documents related with the operations updated. Also responsible to all the legal documents, procedures and requirements related to the employees of the property managing offices and government agencies (such as Labor Office, Municipality, Etc.). Coordinate the smooth and efficient running of sales and marketing operational requirements


Job Responsibilities

  • Managing the contracted PRO agency, and meeting government official when required representing the company

  • Assisting in any other day to day operations related to employee government needs

  • Maintaining the strictest confidentiality at all times.

  • Producing relevant reports as and when required.

  • Performing any other duties as and when required.

  • Full executive support for Saudi Arabia GM

  • Preparation of monthly reports & other slide decks or reports as required

  • Diary management

  • Business related travel bookings

  • Conference, meeting, and associated bookings & admin support – including regional & local meetings or commercial committees.

  • Office setup and Management

  • Adhere to company policies and procedures at all times

  • Support the marketing and sales team in coordinating logistical requirements of events and other initiatives.

  • Coordinate procurement process; vendor and purchase order management for all logistical aspects of marketing events and team activities (ex. Travel arrangements, venue, events…etc.)

  • Establish Budget tracking of all the team activities

  • Support procurement process, vendor management, tracking of invoices and payments, including pharmacies delivery notes…etc.

  • Coordinate and track the distribution and subsequent retrieval of KSA sales materials, contracts, samples…etc.

  • Establish and maintain archiving process for department documents, samples…etc.

  • Ensure correct documentation (hardcopy & electronic) is filed for all team activities.

Minimum Requirements

  • University degree from any field

  • Language: fluent in English especially Business English (written and spoken)

  • Experience in a Pharmaceutical industry/field is an added advantage

  • 2 years in a similar role, or 5 years general administration experience

  • Previous working experience in a similar role.

  • High degree of organizational, interpersonal and excellent communication skills

  • Adapt in handling sensitive and confidential situations.

  • Proficient in Microsoft Office Suite and internet search with the ability to learn new software applications

  • Fluency in Arabic and English language, both written and verbal.

  • Experience living and working in Saudi Arabia.

  • Tenacious and self-motivated.

  • Excellent customer service skills.

  • Excellent IT skills. Competency in MS Office package (Excel, Word, PowerPoint, SharePoint, etc.).

  • Immaculate attention to detail, good focus, and willingness to learn.

  • Good organizational skills.

  • Experience with various municipalities and ministries such as the Ministry of Labor, Ministry of Commerce and Investment, Saudi Arabian General Investment Authority (SAGIA) and Ministry of Foreign Affairs.

  • Saudi citizen
