About the jobWe are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will manage a wide range of administrative tasks, from scheduling and coordination to handling personal errands. This role demands excellent communication skills, a high level of professionalism, and the ability to work under pressure in a fast-paced environment.
Requirements:
Minimum of 3 years of experience in an executive support role.Excellent command of both English and Arabic, fluency in writing and speaking.Valid drivers license and a car; willingness to run errands as needed.Ability to work long hours and remain on call for urgent tasks, demonstrating strong dedication and work ethic.Proficient in Microsoft Office Suite, Google Suite, and other relevant software tools.Excellent organizational, problem-solving, and analytical skills, including the ability to pass a reasoning and problem-solving exam.Ability to handle sensitive information with the highest degree of integrity and confidentiality.
Roles & Responsibilities:
Meeting Coordination:
Attend all meetings with the CEO, take comprehensive notes, and manage follow-up tasks and calendar events.Arrange meeting schedules, including selecting optimal dates, times, and locations based on priority and the type of meeting.
Administrative and Legal Support:
Act as a liaison between the CEO and various internal departments and external entities, including company governance and legal teams.Manage administrative tasks related to legal dealings in coordination with attorneys and other legal professionals.
Office Management:
Oversee office improvements and maintenance efforts to ensure a productive work environment.Source and manage relationships with vendors and research new technologies and tools to enhance office efficiency.
Personal Assistant Duties:
Handle personal errands for the CEO, including government and family-related tasks, receiving shipments, and arranging meals and travel.Manage personal purchases and reservations effectively, with the use of a company credit card.
Stakeholder Relations:
Represent designated board members in meetings as required and maintain relationships with investors.Prepare documentation and perform a thorough review of all materials before they are signed by the CEO.
Project and Task Management:
Arrange critical office visits and ensure that all projects and tasks are followed up on, ensuring timely completion to meet deadlines.
