TheExecutive Secretary to the Managing Director holds a crucialposition in the company serving as the primary conduit forefficient communication and coordination within the organization.Reporting directly to the Managing Director this role supports theexecutive in managing administrative responsibilities streamliningexecutive workflows and fostering effective information exchangewithin a multifaceted company operating in both the HORECA (HotelRestaurant and Catering) and Real Estate Developmentindustries.


1.
ExecutiveSupport:

Act as the primary point ofcontact between the Managing Director and internal/externalstakeholders.

Manage the Managing Directorscalendar appointments and prioritizemeetings.

Prepare and distribute meetingagendas presentations andreports.


2.
CommunicationHub:

Ensure efficient communicationflow within the organization linking both HORECA and Real EstateDevelopment sectors.

Handle correspondence includingemails letters and phone calls.

Coordinate communication betweenthe Managing Director and departmentheads.


3.
InformationManagement:

Maintain confidential records anddocuments exercising discretion andconfidentiality.

Conduct research compile data andprepare reports as requested by the ManagingDirector.


4.
Traveland Event Coordination:

Arrange and coordinate theManaging Directors travel plans including itinerariesaccommodations andtransportation.

Assist in organizing companyevents and meetings both internally andexternally.


5.
Documentationand Filing:

Manage and organize documentscontracts and agreements related to both businesslines.

Ensure accurate filing andretrieval of importantrecords.


6.
InterdepartmentalLiaison:

Foster positive workingrelationships with teams in the HORECA and Real Estate Developmentsectors.

Facilitate crossfunctionalcollaboration and informationsharing.

Requirements

Qualificationsand Experience:

Bachelor s degree in businessadministration management or a relatedfield.

Proven experience (58 years) asan executivesecretary.

JobSpecific Skills:

Scheduling Proficiency: Expertisein calendar management and appointmentscheduling.

Effective Communication: Strongwritten and verbal communicationskills.

Organizational Agility:Exceptional organizational skills to manage diverse administrativetasks.

TechSavviness: Proficiency inoffice software and communicationtools.

Discretion and Confidentiality:Ability to handle sensitive information withdiscretion.

ProblemSolving Acumen: Capacityto resolve logistical and administrativechallenges.

Time Management: Excellent timemanagement and prioritizationskills.

Qualifications and Experience: Bachelor s degree in businessadministration, management or a related field. Proven experience(5-8 years) as an executive secretary.
