We aresearching for an experienced Admin Coordinator at our Medlog SaudiArabia Limited Ad Dammam facility.

Primary Duties andResponsibilities:

Provide the bestsuppliers and quotations for any office/depot purchaseorder.
Carry out research to provide information tosupport negotiations on pay and conditions to suppliers.
Handle all the process for obtaining the necessary licenses for allprojects and tasks.
Support in buildings requirements byproviding all needed documents and discuss any occurissue.
Book Flights and hotels for employees businesstrips and annual leave.
Renew nonSaudi resident ID inMuqeem/MOL system.
Issue all visit visasrequests.
Work on company online accounts as Yakeen TammAmnetc.
Carry out the yearly renewal of medical insurancecoverage add /cancel the employee in medical coverage and submitemployees claim.
Handle Mobile request or cancel it onthe online user or through emails.
Coordinate with theReceptionist regarding office groceries and supplies by gettingthem directly or through third party.
Coordinate with theReceptionist regarding the work of the cleaners.
Coordinate with the company drivers to finalize any administrationtasks.
Coordinate with lease/rent car company to providecars and to handle monthly invoices.
Provide monthlyreports whenever required.
Find suitable vendors topurchase of materials/services required by the company.
Collect all information about the vendor through questionnaire(VHQ) and check that it matches company requirement
Negotiate with the vendors to purchase of materials/servicesrequired by the company and request for Quotation to view 3difference options for each material/service before seekingmanagement approval.
Ensure that the submitted Requestfor Quotations (RFQ) forms meet company specifications.
Issue purchase orders (PO) for approved purchase of goods/servicesand ensure that they are delivered at the appropriate time and inaccordance with company requirements.
Prepare regularreports on materials and supplier performance to assist in decisionmaking.
Monitor the performance of suppliers and toensure they are providing the best output.
Purchase someproducts from specialized stores personally.
Monitor thepurchasing arrangements of different departments and functions toensure that they are taking advantage of the most favorableterms.
Monitor the costs of materials/services obtainedto ensure that these comply with the companys cost criteria and tomaximize savings to the company.
Compile &maintain a comprehensive database of contractors and pricingarrangements and utilize the approved vendors to ensure that thecompany achieves the most favorable commercial terms.
Make all necessary administrative arrangements for the running ofinhouse training courses.
Coordinate with printing housesto print MEDLOG requirements of letterheads envelopesetc.
Any other tasks assigned by the directmanager.

RequiredQualifications:

AdministrativeSkills.
Goverment Knowledge in Logistics field.
Procurement Expertise.
Communication Skills.
ProblemSolving Abilities.
Adaptability andMultitasking.
English language.

AMinimum of 1 years experience in a similarrole/industry

Bachelors Degree in BusinessAdministration or any related field.

Excellentadministrative skills
Intermediate to advanced MicrosoftOffice skills (Word Excel PowerPoint and Outlook)
Intermediate to excellent verbal and written English Bilingual(Arabic/English)
Organized and able to meet deadlines(Time management)
Replying to emails within no more than4 hours
Multitasking
Dedicatedpersonnel
Good human relations skills.
Organizework to meetpriorities.
