Job Description - Executive Assistant

Othaim Holding is seeking a proactive and highly organized Executive Assistant to support our executive team in the investment management industry. As a vital part of our organization, the Executive Assistant will play a key role in enhancing operational efficiencies and facilitating communication within the company. The ideal candidate will possess a remarkable ability to manage multiple tasks simultaneously while maintaining a high level of professionalism and confidentiality. This position demands strong organizational, interpersonal, and analytical skills in order to effectively manage schedules, prepare important documents, and communicate with various stakeholders. The Executive Assistant will be responsible for coordinating complex travel arrangements, preparing meeting agendas, and summarizing key points for executive review. In addition to standard administrative duties, the role will involve managing special projects and initiatives that align with our strategic goals, thus providing an excellent opportunity for professional growth. Responsibilities

  • Manage and maintain the executive's schedule, appointments, and travel arrangements
  • Prepare and edit correspondence, reports, and presentations for internal and external meetings
  • Coordinate and facilitate communication between executives and other departments or external stakeholders
  • Handle confidential information with discretion and professionalism
  • Assist in the management of special projects and initiatives from inception to completion
  • Organize and maintain files, records, and databases to ensure easy access to information
  • Conduct research and compile data to support executive decision-making and strategy formulation
  • Bachelor's degree in Business Administration or a related field
  • Proven experience as an executive assistant or in other administrative roles
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills in English; knowledge of Arabic is a plus
  • Exceptional organizational and time management skills with a strong attention to detail
  • Ability to work independently and prioritize tasks effectively in a fast-paced environment
  • Demonstrated ability to maintain confidentiality and handle sensitive information
