Job Description

About the Role

The Executive Assistant to the General Manager plays a vital role in supporting the GM in all aspects of daily operations, ensuring efficient communication, organization, and project management. This role requires exceptional discretion, professionalism, and a proactive approach to managing the GM’s schedule, correspondence, and key initiatives.

As the GM’s right hand, you will act as a trusted liaison between internal teams, external partners, and senior leadership, helping drive operational excellence and seamless coordination.

Key Responsibilities

  • Manage the General Manager’s calendar, including scheduling meetings, appointments, and travel arrangements with precision and foresight.

  • Screen, prioritize, and respond to incoming communications, emails, and calls on behalf of the GM.

  • Prepare and edit correspondence, presentations, reports, and meeting agendas with accuracy and professionalism.

  • Coordinate and follow up on key projects and action items, ensuring deadlines are met and information flows smoothly.

  • Facilitate communication between the GM and hotel departments, corporate offices, clients, and external stakeholders.

  • Assist in organizing internal and external meetings, events, and VIP visits, including logistics and hospitality arrangements.

  • Handle confidential information with utmost discretion and maintain a high level of professionalism at all times.

  • Support the GM with special projects, research, and data analysis as required.

  • Maintain filing systems, databases, and documentation to ensure easy retrieval and compliance with company policies.

  • Act as an ambassador for the GM, representing the executive office positively and professionally within the hotel and with external contacts.

Qualifications

  • Minimum 5 years of experience as an Executive Assistant or similar role, preferably supporting senior leadership in luxury hospitality or corporate settings.

  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.

  • Excellent written and verbal communication skills with strong attention to detail.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with digital communication tools.

  • High level of discretion and confidentiality in handling sensitive information.

  • Strong interpersonal skills with the ability to build effective relationships across all levels of the organization.

  • Proactive, resourceful, and solution-oriented mindset.

  • Ability to work independently and as part of a team.

  • Bachelor’s degree or equivalent experience preferred.
