Job Description - Executive Secertary for the CHRO office

We are seeking a highly organized and proactive Executive Secretary to provide administrative support to the Chief Human Resources Officer (CHRO) office in our company in Khobar, Saudi Arabia. The ideal candidate should have at least 3 years of experience in a similar role and possess exceptional communication and organizational skills.

Responsibilities:

  1. Manage the CHRO's calendar, including scheduling meetings, appointments, and travel arrangements.
  2. Prepare and distribute correspondence, memos, and reports on behalf of the CHRO.
  3. Coordinate and facilitate meetings, conferences, and events, including preparing agendas, taking minutes, and distributing meeting materials.
  4. Screen and prioritize incoming calls, emails, and correspondence for the CHRO, responding or redirecting as necessary.
  5. Maintain and update confidential employee records, ensuring accuracy and compliance with company policies and legal requirements.
  6. Assist in the preparation and coordination of HR-related projects and initiatives, including research, data analysis, and presentation preparation.
  7. Collaborate with HR team members to ensure efficient flow of information and effective communication within the department.
  8. Handle confidential and sensitive information with integrity and professionalism.
  9. Perform general administrative tasks, such as filing, photocopying, and ordering office supplies.
  10. Support other HR-related activities and projects as assigned by the CHRO.

Preferred Candidate:

  1. Bachelor's degree in Business Administration or related field.
  2. Minimum 3 years of experience as an Executive Secretary or Administrative Assistant.
  3. Proven ability to manage multiple tasks and prioritize effectively.
  4. Exceptional verbal and written communication skills in English and Arabic.
  5. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  6. Strong attention to detail and accuracy.
  7. Ability to maintain confidentiality and exercise discretion.
  8. Excellent organizational and time management skills.
  9. Ability to work independently and within a team.
  10. Professional and positive attitude.
