Job Description - Graduate Mechanical Engineer

The Richmond Redevelopment and HousingAuthority (RRHA) has a position opening in the Housing ChoiceVoucher Program and Tenant Selection Office to serve as anAdministrative Assistant to the Department Director. The positionprovides administrative or secretarial support to an administrativesuperior involving substantial public contact, informationgathering, and policy interpretation. All activities must supportthe Richmond Redevelopment and Housing Authority ( RRHA orAuthority ) mission, strategic goals, andobjectives.

Essential Duties and Responsibilities:
The position duties and responsibilities listed belowdescribe the general nature and scope of work. Otherresponsibilities, duties, and skills may be required and assigned,as needed.
Screens and distributes incoming mail andtelephone calls and responds to and resolves routine issues andcomplaints; refers remaining issues to appropriate departmentpersonnel; keeps a suspense log of requiredactions/deadlines.
Schedule appointments and keepscalendar for the HCVP/TSO department director.
Compiledata for statistical and financial reports; maintains a variety ofstatistical records.
Process personnel, payroll andpurchasing information; order and maintain office supplies; resolveerrors on orders received and on invoices; prepare and monitorrequisitions, invoices, and approve payments.
Composecorrespondence; type and proofread a wide variety of reports,letters, memos, forms, and statistical charts; types from roughdraft, verbal instructions or recordings; may sign and distributecorrespondence.
Performs complex word processing taskssuch as merging and sorting, integrating text with graphics,spreadsheet and database files, uploading/downloading, and creatingfootnotes and outlines; uses spreadsheet and database software todevelop and maintain records; uses basic statistical softwarepackages; uses graphics software and recommends appropriate displayof information.
Establish, organize and maintain filingsystems; maintain inventory records and other department andprogram files; handle and maintain sensitive and confidentialinformation and records.
Maintains calendars and schedulesof activities, meetings and various events; set up meetings andappointments; coordinate activities with other departments, thepublic and outside agencies; coordinate travel arrangements; ensurethat meeting facilities are prepared.
Verify and reviewmaterials for completeness and conformance with establishedregulations and procedures; apply applicable policies andprocedures in determining completeness of applications, records andreports.
Establishes, reviews, researches and implementsoffice procedures, standards, priorities, and deadlines related toassigned functions.
Develops budget estimates; monitorsand controls budget status and expenditures; perform record keepingfor various funds and expenditures.
Provides informationabout department program, projects, services, and operations tointernal and external entities.
May attend meetings, takeminutes and transcribe as necessary; coordinate and participate inthe preparation and process of agendas; ensure that agenda packetsare complete including all staff reports and related supportingdocuments; coordinates the duplication, collation, and distributionof agenda packets.
Keeps supervisor informed ofsignificant and important items requiring his/her review oraction.
Attends meeting on behalf of supervisor or workunit.
Serves as liaison between supervisor and other staffmembers, transmitting assignments and requesting statusinformation.
May provide guidance and direction to lowerlevel clerical workers; reviews work for accuracy, timeliness andconformance with instructions and standard practices; evaluatesperformance and provides training.
Performs other relatedwork duties as assigned.
Skills :
Graduation fromhigh school/ G.E.D. and completion of related training or collegecourses.
Progressively responsible experience providingadministrative support.
To perform this job successfully,the employee should have strong computer skills (e.g. MS Word,Excel, PowerPoint, and Outlook). Must have the ability to learnother computer software programs as required by assigned tasks.

The employeemust be able to exchange information in person, in writing, and viatelephone. The employee must occasionally transport up to 25pounds.
