MAINPURPOSE

The HR Operations Supervisorhandles the administrative aspect of the HR Department and providessupport in the departments functional areas which include thedaytoday activities employee data management payroll administrationbenefits administration HR Policy development compliance with thelabor law employee onboarding employee relations HR systemmanagement.


RESPONSIBILITIES

On boarding and Orientationof NewEmployees


  • Fullresponsibility for on boarding and orientation process.
  • Prepare employment contract of selectedcandidates.
  • Initiate and monitor preemploymentscreening of selected candidates.
  • Communicatevisa requirements to new expat employees upon acceptance of offer.
  • Coordinate visa application with PRO uponreceipt of complete requirements.
  • Upon receiptof visa communicate and confirm joining date of new employee torespective manager.
  • Prepare all necessaryarrangements before arrival of new employee (if applicable) i.e.flight temporary accommodation airport pickup orientation book.
  • Request settling inallowance and accommodationpayment for new employee (ifapplicable).

Offboarding

  • Communicate exitprocess to employee upon receipt of resignation letter.
  • Send clearance form to service deliverydepartments for terminated employees not serving notice period uponreceipt of termination letter.
  • Coordinate withPRO for cancellation/transfer of visa of leaving employees.
  • Request release of final payment onceclearance of leaving employee is confirmed.
  • Followup new visa for employees staying andtransferring to other Richemont companies.
  • Prepare draft calculation of final settlementfor payroll processing.
  • Prepare EOSBdocuments.
  • Prepare Service/ExperienceCertificate
  • Prepare the Offboarding Checklistand ensure the clearance is completed before thedeparture.

Healthand Life Insurance

  • Additionand deletion of Life insurance for employees and Health insurancefor employee and family.
  • Act as focal point ofcontact for all insurancecompanies.

EOSBand Pension Payment

  • Preparefile for KSA Pension Fund payment to be sent to Finance for paymentprocessing.
  • Request payment transfer toFinance for Saudi /GCC Pension Funds.
  • Supportin periodical testing of EOSB and Financeaccruals.

Payroll

  • Full responsibility forpayroll first level review and payroll run.
  • Prepare employee file checklist of new joinersfor payroll.
  • Provide list of employeeseligible for annual ticket payment every month for payrollprocessing.
  • Date Quality on monthlybasis

Reach

  • Upload announcement onReach such as birthdays promotions news changes staff salesetc.

GeneralAdministrative tasks

  • Prepare requested employeeletters.
  • Prepare and maintain HR employeefiles in both shared folder as SAP System.
  • Check and process staff purchase submitted byemployees.
  • Send probation forms to managers tobe completed for new employees. (HRBP)
  • Maintain Employee Visa and Work PermitList. (GR)
  • Respond to employees inquiriesregarding policies procedures and programs.
  • Adhoc requests from HRteam.

Driveoperational excellence and continuousimprovement

  • Recommend newapproaches policies and procedures to promote HR best practices
  • Propose key business process improvementinitiatives to reduce time spent on transactional HRactivities

EducationalBackground

Level of education andprofessional qualifications and/or specific occupational trainingrequired.

  • Bachelorsdegree in Human Resources Business Administration or relatedfield
  • CIPD PHR SPHR certification is aplus

Technical/WorkbasedSkills or specific knowledge (MustHave)

This relates to the skillsspecific to the job e.g. language fluency etc

  • Fluency inboth Arabic and English
  • Saudi national as perSaudi labor law
  • Previous experience as HRgeneralist
  • Proficient in Microsofttools
  • Experience in SAP HR &Workday isaplus

Experience

This could include a minimum period ofexperience or specific(ensure period stated is appropriate and notunnecessarily excessive)

  • 5 years ofexperience in HR Operations preferably in HR Operations Employeeservices and Payroll or similar role.
  • Solidunderstanding of retail businessrequirements
  • Strong knowledge of HR bestpractices employment laws andregulations
  • Strong knowledge in competencybased recruiting
  • Excellent communication interpersonaland leadership skills and time Management detail oriented.
