Role Summary
The PMO Senior Specialist supports the planning, governance, tracking, and delivery of strategic and operational projects across the organization. The role ensures projects are executed in line with approved timelines, budgets, governance standards, and leadership expectations.
Key Responsibilities
1. Project Planning & Execution Support
Support the development of detailed project plans, timelines, milestones, and deliverables.
Work with project owners to define scope, dependencies, risks, and key success measures.
Track progress against approved plans and ensure updates are captured accurately.
Follow up with workstream leads to ensure timely completion of assigned deliverables.
Escalate delays, risks, and blockers to the PMO leadership in a timely manner.
2. PMO Governance & Standards
Apply approved PMO frameworks, templates, tools, and governance processes.
Ensure project documentation is complete, accurate, and maintained throughout the project lifecycle.
Support governance forums by preparing materials, tracking decisions, and documenting action items.
Ensure projects follow established approval, reporting, and escalation protocols.
3. Risk, Issue & Dependency Management
Identify project risks, issues, and dependencies across workstreams.
Maintain risk and issue logs and follow up on mitigation actions.
Coordinate with project teams to resolve bottlenecks and minimize delivery impact.
Escalate critical risks with clear analysis and proposed mitigation options.
4. Reporting & Performance Monitoring
Prepare weekly, monthly, and ad hoc project status reports for leadership.
Develop dashboards to track milestones, risks, budget status, and delivery performance.
Analyze project performance trends and highlight areas requiring management attention.
Ensure consistency and accuracy of project data across reporting channels.
5. Stakeholder Coordination & Communication
Coordinate with internal departments, project leads, consultants, and external stakeholders.
Facilitate project meetings, workshops, and progress reviews.
Ensure stakeholders are aligned on priorities, timelines, and deliverables.
Support clear communication of project updates, decisions, and next steps.
Key Performance Matrix
Deliver accurate and timely project reports and dashboards.
Maintain strong adherence to project timelines and milestone tracking.
Ensure risks and issues are identified, documented, and escalated proactively.
Support effective governance through complete documentation and action tracking.
Improve project delivery discipline through consistent PMO standards.
Qualifications
Bachelor’s degree in Business Administration, Project Management, Engineering, Healthcare Administration, or related field.
6–9 years of experience in project management, PMO, strategy execution, or transformation.
PMP, PRINCE2, or similar project management certification is preferred.
Experience in healthcare, giga-projects, consulting, or complex operating environments is an advantage.
