Job Description:

  • Providing administrative support to the sales team, which include among other duties, managing sales enquiries, the writing of contact reports, preparing pricing documentation and drafting proposals for customers / quotations.
  • Responding to customer calls and emails, and supporting the sales staff in completing customer paperwork, receiving, reviewing, and verifying customers’ work request / orders and verifying  and documenting scope of work (SOW).
  • Liaise with the Logistics department, particularly with Operations Planners and other Operational units to ensure smooth and seamless co-ordination and prompt service deliveries.
  • Maintaining customers information, and inputting sales data into our customer management system.
  • Checking data accuracy in orders and invoices and help in contacting customers to obtain missing information or answer queries.
  • Supporting sales in customer’s vendor registration and onboarding process. Communicate important feedback from customers internally.
  • Resolve product or service problems by clarifying the customer's complaint; determine the cause(s) of the problem; discuss and propose solution; execute and follow up to ensure satisfactory closure.
  • Keep detailed customer records and update customer records after each interaction (such as compliment, complaint and feedback) with that customer.
  • Assist the Sales and Marketing Team in boosting sales and performance. This include providing feedback on market intelligence, competitors’ activities, setting up appointments or following up with customers after their first interaction with the salesperson.
  • Prepare performance and other administration reports.
  • Monitor terms and conditions of Purchase / Work Orders received from customers and follow up closely on the delivery dates and quantity to be fulfilled.

Requirements:

  • Relevant good academic qualifications in business administration, sales and marketing and other .
  • Strong organizational skills, able to stay focus and pay attention to detail, and the ability to multitask in a fast-paced environment with tight deadlines.
  • Good communication and interpersonal skills and able to perform independently and collaboratively in a team.
  • Ability in MS Office Suite Hands (Excel and PowerPoint) and hand on experience with CRM software
  • 1-years of experience in sales administration, trucking  / logistic operation, or other similar roles.
