Job Description - Operations & Admin Officer

About the Role

We are seeking a proactive and organized Operations & Administration Officer to support the daily operations of our automotive spare parts wholesale business. The successful candidate will be responsible for administrative functions, operational coordination, inventory support, logistics assistance, and customer service activities. The role also requires occasional delivery and collection duties therefore, a valid Singapore Class 3 Driving License is essential.

Key Responsibilities

Operations & Administration

  1. Manage day-to-day administrative and operational activities.
  2. Prepare quotations, invoices, delivery orders, purchase orders, and related documentation.
  3. Maintain accurate records of inventory, sales transactions, supplier information, and customer accounts.
  4. Process orders and coordinate with customers, suppliers, and internal teams to ensure timely fulfillment.
  5. Support stock management activities, including stock reconciliation and inventory reporting.
  6. Handle general office administration, filing, and data entry.

Logistics & Warehouse Support

  1. Coordinate incoming and outgoing shipments with suppliers, freight providers, and customers.
  2. Arrange deliveries and collections of automotive spare parts.
  3. Assist with receiving, checking, packing, and dispatching goods.
  4. Monitor delivery schedules and ensure timely order fulfillment.
  5. Conduct occasional deliveries, collections, and warehouse support duties as required.
  6. Ensure proper documentation for all logistics and inventory movements.

Customer & Supplier Coordination

  1. Respond to customer inquiries regarding orders, stock availability, and delivery status.
  2. Liaise with suppliers regarding purchase orders, shipment schedules, and stock replenishment.
  3. Build and maintain positive relationships with customers and business partners.

Compliance & Reporting

  1. Ensure operational processes comply with company procedures and safety requirements.
  2. Prepare periodic operational and inventory reports.
  3. Support management with ad hoc projects and process improvement initiatives.

Requirements

  1. Minimum GCE 'O' Level, NITEC, Diploma, or equivalent qualification.
  2. At least 1–2 years of experience in administration, operations, logistics, or warehouse coordination.
  3. Experience in automotive spare parts, automotive industry, wholesale distribution, or logistics environment is an advantage.
  4. Valid Singapore Class 3A Driving Licence (mandatory).
  5. Familiarity with inventory management and order processing systems is preferred.
  6. Proficient in Microsoft Office applications (Excel, Word).
  7. Strong organizational, communication, and multitasking skills.
  8. Able to work independently and as part of a team.
  9. Physically fit to assist with handling automotive spare parts when required.

Work Schedule

This job has the following work schedule:

  • 5.5 days / week
  • 9am - 6pm
