Job Description - Admin Assistant - Urgent

We are looking for a strategic Admin Assistant to join our growing team at Zuellig Pharma Pte Ltd in Singapore.

Job:

Duties and Responsibilities:

  • Schedule system reports to relevant stakeholders
  • Sales mapping by customer by rep for uploading into the different systems
  • Logistics management for devices and telco contract arrangement
  • Monthly sales reports to finance for billing purposes
  • for their monthly sales performance report to principals
  • Monthly sales and demand forecast templates for managers to input
  • Marketing and sales events/campaign planning and coordination
  • Maintaining A&P tracking reports for agency/in-licensed lines
  • Maintenance of filing systems for Division’s key documents (price/bonus maintenance forms, request for return notes, sample chits, etc.)
  • Sorting incoming faxes and forward to relevant parties
  • Management of calendars and venues on meetings/appointments
  • Work closely with appointed official travel agents on travel bookings
  • Ensure all learning records are properly captured and submitted to Division’s Admin Specialist and prompt follow up with staff on the completion of all relevant training modules whether for new staff or refresher for exiting staff
  • Coordination with main Division’s Admin Specialist and sales and marketing teams to ensure smooth on-boarding/exit of staff and managers - access to systems, facilities, devices, etc.
  • Setting up of interviews and booking of venues

 

Requirements:

  • General Diploma
  • Minimum 2 years admin experience in a sales environment
  • Excellent MS Office skills, especially MS Excel
  • Good command of spoken and written English
  • Good communication and interpersonal skills
  • Problem-solving skills
  • Experience with SAP is an advantage
