Job Objective:

This role involves maintaining accurate inventory records, scheduling regular and emergency maintenance for vehicles, and ensuring all fleet operations run smoothly. This position requires strong organisational skills, attention to detail, and effective communication to coordinate with maintenance teams and manage logistical tasks efficiently.

Core Responsibilities:

Fleet Management:

• Monitor and maintain efficient fleet utilisation
• Track vehicle mileage, fuel usage, and other performance metrics (will be taught)

Maintenance Coordination:

• Schedule regular maintenance and repairs for all fleet vehicles
• Maintain accurate records of vehicle maintenance and service history
• Ensure compliance with all safety and regulatory standards

Inventory and Supplies:

• Manage inventory of parts, tools, and supplies necessary for vehicle maintenance
• Order and replenish stock as needed to minimise downtime

Accident and Breakdown Assistance: (work closely with our Aftersales and Insurance teams)

• Coordinate immediate response to vehicle accidents and breakdowns
• Arrange for towing and roadside assistance services as needed
• Ensure timely repairs or replacements to minimise operational disruptions.
• Communicate with insurance companies and complete necessary documentation for claims

Reporting and Documentation:

• Prepare and maintain detailed records and reports on fleet activities
• Analyse data to identify trends and areas for improvement
• Provide regular updates to management on fleet performance and issues

Customer Service:

• Address and resolve customer inquiries and complaints related to vehicle fleet operations
• Ensure high levels of customer satisfaction through effective fleet management

Compliance and Safety:

• Ensure all vehicles and operations comply with company policies and legal regulations
• Conduct regular safety audits and inspections of fleet vehicles
• Implement and oversee safety programs and initiatives

Job Requirements:

• Minimum GCE O Level or equivalent
• Knowledge in automotive engineering will be an advantage
• Valid Class 3 driving license
• Proficient in Microsoft Office, especially Excel
• Comfortable to travel between office and off-site vehicle parking location in the West
• Strong interpersonal and communication skills
• Able to work independently and provide support when the team is out
• Flexible, friendly, helpful nature and a team player
