Job Summary: The Logistics Coordinator is responsible for coordinating with suppliers, freight forwarders, internal team and customers to ensure efficient and timely delivery of goods to customers. The candidate should be meticulous, possess strong organizational and communications skills as well as a solid understanding of logistics and supply chain management principles.
Job Functions:
1. Logistics
- Carry out shipment booking and liaise with freight forwarders/third-party logistics providers to ensure timely pickup and delivery of shipments.
- Coordinate shipments to ensure quality and timeliness with transportation/freight forwarder/3rd party logistics partners.
- Working with freight forwarders to schedule shipments, track shipment status, and timely delivery to destinations.
- Source and negotiate freight rates with shipping agents, forwarders and 3PL.
- Plan and optimize shipment routes to reduce expenses and improve efficiency.
- Ensure shipping compliance with regulatory requirements.
- Resolve any transportation issues or delays promptly and escalate when needed.
- Check freight and/or other logistics invoices and tally with Finance Department for payment.
- Responsible and keeping track of customers’ orders to ensure smooth delivery.
- Maintain logistic databases and assist in the preparation of transportation and distribution statistics for analysis.
2. Customer Experience
- Perform sales support function, e.g. processing customer orders, generating packing list, invoices, and arranging logistics.
- Follow up customer delivery and ensure on time delivery are met.
- Attend to after-sales support requests from customers ensuring customer’s expectations are met, e.g. material certificates, delivery issues, shortages, etc.
- Handle customer complaints and work with internal team to investigate root cause and provide solutions or corrective action within the time limits; follow up to ensure resolution.
- Keep records of customer interactions, process customer accounts and file documents appropriately.
Other Roles and Responsibilities:
- Perform analysis and generate report for Management.
- To execute and perform other tasks assigned by superior.
Education/Experience/Skills:
- Minimum Diploma in Logistics/Supply Chain or related field.
- Proficient in MS Office and have experience using ERP system
- Knowledge on import/export regulations, customs procedures, FTA and COO application
- Attention to details – follows procedure accurately, carefully and completes documents and report accurately.
- Able to work independently with minimum supervision.
- Meticulous and a commitment to accuracy in all tasks.
- Flexible, can adapt to changing priorities and business requirements.
- Good customer relationship management skills.
- Proven experience in logistics and customer service is an advantage.
