NatCarbon Africa seeks a Nursery Finance/Administrative Officer in the Nursery Department for the large-scale Spekboom Restoration Project in the Eastern and Western Cape Provinces of South Africa.
With our partner, Imperative Global, our aim is to restore up to 100,000 hectares of degraded subtropical thicket biome. The Project entails planting Spekboom (Portulacaria afra) on privately owned land to improve ecosystem functioning and agricultural productivity over time, promote biodiversity, improve soil filtration, enhance water storage capabilities, and to reduce soil erosion. The Project is estimated to permanently store large quantities of Carbon Dioxide over the Project life, thus positively contributing towards climate change mitigation.
Position Summary:
The Finance/Administrative Officer plays a crucial role in ensuring the smooth and efficient functioning of the team’s operations by providing comprehensive administrative support. This role requires excellent organisational abilities, attention to detail, and the capability to manage multiple tasks in a fast-paced environment.
Roles and Responsibilities:
General Administrative Support
- Manage front desk operations, responding to emails, and welcoming visitors.
- Maintain accurate filing systems, records, and documentation.
- Coordinate appointments, meetings, and nursery tours.
- Coordinate with IT Department to report and resolve technology problems or improvements
Data Entry and Record Management
- Accurately input data related to nursery plant inventory, dispatch, and nursery supplies.
- Update and manage records on operational activities.
Financial Support
- Assist with process invoices (to support AP), purchase orders (to support Procurement), and expense reports.
- Assist with tracking budgets and managing expenses for nursery supplies.
- Collaborate with the finance team to ensure accurate and timely processing of payments.
- Load procurement requirements and follow-up on deliveries.
Inventory and Supplies Management
- Monitor and manage stock levels of office and nursery supplies.
- Coordinate supply orders and replenishments to ensure uninterrupted operations.
Compliance and Reporting
- Ensure all required documentation is maintained for accreditation and compliance with regulations.
- Assist with the preparation of internal reports, recording of any stock count documentation
Communication and Coordination
- Serve as the liaison between the nursery and external vendors, contractors, and service providers.
- Maintain clear communication with nursery staff regarding administrative updates and inquiries.
HR and Payroll Support
- Assist with staff scheduling and maintaining timekeeping records (manually or via systems).
- Manage personnel files and support the onboarding process for new employees at the nursery and offboarding in the event of resignations.
- Any other duties reasonably required by the employee’s manager or reporting line, in line with the scope and level of the position.
General

- Some travel within the Eastern and Western Cape may be required, including to remote locations, with occasional weekend or holiday work to accommodate schedules. Work hours may be irregular.

Skills:
- Strong organizational skills with the ability to multitask efficiently.
- Basic accounting/book keeping skills (advantageous).
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a dynamic environment.
Knowledge and Experience:
- 5 years’ experience in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry software.
- Experience in systems involving procurement modules (SAP, Syspro, Pastel, 4Cast+) is advantageous.
- Experience in an administrative or clerical role, preferably in a nursery or horticultural setting, is an advantage.
Working Conditions
- Frequent travel within the Eastern and Western Cape anticipated, including to remote locations. Travel may on occasion cross weekends and holidays to accommodate schedules. Work hours may be irregular
