Job Description - FT Contract - Financial Services Administrator - Johannesburg - South Africa

Job Description

This role is to support and to ensure the effective running of the office which includes processing of all business and operations of the business. The responsibility and duties are as follows:

  • Manage all operational and business functions for  including by not limited to ordering office supplies and stationery, oversight of electronic equipment, overseeing cleaning staff and ensuring the general functionality of the office.
  • Assisting the advisor with booking of travel and accommodation arrangements and other reasonable personal tasks which may arise or require attention.
  • Ensure all business requests are timelessly and within agreed time frames dealt with and completed.
  • Being the primary contact for all administration request and services.
  • Responsible for understanding every case the team is dealing with and be able to report back to advisors, managers and directors.
  • Co-ordinate morning meetings with the advisor to ensure all cases are being processed within agreed time frames.
  • Send weekly reports to the advisor every Friday.
  • Ensure adheres to the company guidelines around dress code, work hours, leave request, sick days and general code of conduct.
  • Responsible for also completing the below admin duties:
  • Ensure all activity is added and tracked on BIAS, Elite Wealth, eSpear or any other CRM tools the company may use
  • Processing of all new and additional business applications.
  • Liaising with providers to ensure timely processing times are achieved.
  • Ensuring that all communication is logged onto BlAS, or Elite Wealth or any other CRM tools the company may use.
  • Ensuring all documents are stored and locked onto BIAS or Elite Wealth or any other CRM tools the company may use.
  • Ensuring Ad hoc reporting is completed within agreed time frames and formats.
  • Supporting the advisor and directors with any account statements, summaries or reports when required
  • Supporting the office with additional duties on an ad ho requirement. These can Include covering reception during their lunch, holiday and sick leave
  • Engage with clients and prospects as and when required during key stages of the application process.
  • Ensure all communication with clients, colleagues and service providers is in a manner that best represents the brand,
  • All records are actively kept up to date and communicated with financial advisors, managers and directors.
  • Ensure compliance records in line with the FAIS Act, FIC Act and South African Exchange controls for each client are updated and correctly stored.
  • Engage in training programs with products providers and management/Key Individual.
  • Processing portfolio switch requests
  • Processing additions and withdrawals
  • Processing section 14 transfers, section 37 transfers, pension and provident fund transfers.
  • Processing servicing requests online & manually, policy amendments such as beneficiary nominations, ACI additions and removals, debit order amendments, changing the status of policies and change of detail requests.
  • Processing of new Will applications & amendments to existing Wills
  • Pre-submission - checking and pre-populating forms for clients
  • Scanning, labelling, filling and uploading of client files to databases
  • Responsible for ensuring all applications/quotes are checked for accuracy.
  • Communicating with different departments and sending daily updates on current cases to mangers.
  • Preparing quotes

Inherent Requirements

  • Matric
  • Experience as an Administrator
  • Strong Mathematic and Communication skills are very important.
  • Microsoft Office Experience
